Scams change every month. One training session a year doesn't stick. Short, regular practice does.

Bella didn't learn her tricks in one day. She practices all the time, and that's why she nails them.

What actually works:
🎓 5 to 10 minutes of training a month beats a 2-hour session once a year
🎓 Practice phishing emails teach people to spot the real thing
🎓 Celebrate reports, don't punish clicks. You want people speaking up.

Your team is probably already using AI. Some of it you approved. Some of it you've never heard of: a free chatbot, a browser extension that reads email, an AI notetaker that joins every meeting.

Most of it is well-intentioned. But free tools often keep what you type, and some send your meeting recordings to companies you've never checked out.

Zella's AI guardrails:
🤖 Ask your team what AI tools they use. No judgment, just a list.
🤖 Pick approved tools with business accounts, not personal ones
🤖 No passwords, customer data, or financials in unapproved tools
🤖 A human reviews anything AI writes before it goes to a customer
🤖 Put it in writing. A one-page AI policy beats no policy.

AI can save your team hours every week. A few guardrails keep it from costing you a lot more.

For most businesses, Microsoft 365 or Google Workspace is the front door. Email, files, calendars, and logins all live there, which makes it the #1 thing hackers go after.

Bella and Hazel share everything, even sticks. Access to your email is the one thing you shouldn't share.

Lock it down:
🚪 MFA for every user, no exceptions
🚪 Block sign-ins from countries you don't do business in
🚪 Get alerts for suspicious logins and new email forwarding rules
🚪 Keep a real backup of your email and files

Not sure how yours is set up? We'll check it for you.

👉 Free Microsoft 365 / Google Workspace security check: we'll review your settings and send a plain-English list of gaps. Request yours at m.getgalactica.com/m365check or call (406) 534-0911

Phishing was the most reported cybercrime in the FBI's 2025 Internet Crime Report, with more than 191,000 complaints. It works because it looks normal: a shipping notice, a shared document, a password reset.

Bella and Hazel love fishing. They also know not to bite on everything that floats by.

Before you click:
🎣 Check the actual sender address, not just the name
🎣 Hover over links to see where they really go
🎣 Not expecting it? Don't open it. Ask first.
🎣 Clicked something weird? Report it right away. Fast reporting beats hiding it.

Hazel knows not to take treats from strangers, no matter how friendly they look. Let's see how you do. 🦴

Which one is the scam?

🅰️ A pop-up says: "Microsoft Support: Virus detected. Call 1-888-555-0142 now so a technician can fix it remotely."

🅱️ An email says: "Your Microsoft 365 password expires today. Click here to keep your current password."

Comment A or B. We'll post the answer tomorrow.

Hint: real support never asks for remote access, passwords, or codes out of the blue.

Quick poll for business owners. 🐾

Is multi-factor authentication (MFA) turned on for your business email?

1️⃣ Yes, for everyone
2️⃣ Just for me
3️⃣ Not sure
4️⃣ What's MFA?

Drop your number in the comments. No wrong answers, and "not sure" is more common than you'd think. We'll share the results next week.

Picked 3 or 4? We'll check it for you, free: m.getgalactica.com/m365check

Scammers can now clone a voice with just a few seconds of audio. McAfee researchers found as little as 3 seconds can be enough. A voicemail greeting or a video on your page is plenty.

Here's how it plays out: "Hey, it's me. I'm in a meeting and need you to send a payment to this new vendor right now." It sounds exactly like the owner. The employee pays.

Zella's defense plan:
🛡️ Set a code word for any money or password request by phone
🛡️ Hang up and call back at a number you already have
🛡️ Make it policy: urgent + money = verify first, every time

Nobody gets in trouble for double-checking.

Share this with whoever handles payments in your office.

Hazel can sniff out things you'd never see. Dark web monitoring does the same for your business.

When a site you use gets breached, those emails and passwords often end up for sale on the dark web. You won't get a notice. You'll just get hacked later with a password you forgot you used.

Do this:
🐾 Change any password that shows up in a breach, everywhere you used it
🐾 Turn on MFA so a leaked password alone can't get anyone in
🐾 Monitor your whole company domain, not just one inbox

Want to know if your company is already out there? We'll run the scan for you, free.

If you've used the same password in more than one place, one leak unlocks all of them. And the sticky note under the keyboard doesn't count as security.

Bella keeps her desk organized. Your passwords should be too.

A password manager creates a strong, unique password for every account and remembers it for you. You remember one master password (with MFA on it). That's it.

Quick start:
🔑 Pick a business password manager the whole team can use
🔑 Start with your top 10 accounts: email, bank, payroll, domain, website
🔑 Share logins through the manager, never by text or email
