CRMs have come a LONG way from storing names and phone numbers. But we think the bigger question is whether your businesses have evolved with them.

Collecting information matters, managing operations is necessary, and automating follow-up helps. Since the 1990s CRM's have been making those possible, but none of them replace the need to understand what’s happening, notice what’s been missed, and decide what deserves attention next.

That’s what we’re building toward with SAM: using Software + Intelligence to connect context that helps you make better decisions.

So, here's our question for you! Does your technology help carry the work, or just keep track of it?

To find out where your business is and what you can do to take that next step, we've put together a free Real Estate AI Leverage Scorecard. It only takes about three minutes and provides personalized insights into where your tools create leverage, where manual work remains, and what to improve first.

Take the Scorecard: https://sam.workflowsecrets.info/connect?id=83b67641-4a0f-4a66-b040-1e1d36423521

What’s one thing you’re still doing manually that you expected your technology to handle? And is that task one that you could pass off? Find out for free with our Real Estate AI Leverage Scorecard!

On January 23rd, 2025, I was sitting in my office thinking about where all of this was going, and I recorded a voice note describing what I believed SAM would become.

At the time, if I’m being fair, SAM wasn’t much different from the CRMs we had spent most of our careers in. But Mark Stepp and I believed those pieces were building toward something bigger.

Later that year, I stood on stage at the Startup World Cup and said, "In the next 12–24 months, the traditional real estate CRM would be replaced."

I’m not sure if it was the delivery, but the judges didn’t buy the vision. Workflow Secrets isn’t in the Valley, or a 100-person team, and hadn’t raised a war chest.

But, we were moving toward a different way of interacting with business software, where years of information becomes context that intelligence can actually use.

Fast forward to September 30th, 2026, SAM provides the context: who someone is connected to, where they are in the business, when we last communicated, what our notes say, and the records tied to that relationship. I can then ask about someone else without digging through a database to reconstruct the context.

For most of CRM’s history, we’ve put information into software and then had to figure out how to get value back out, before deciding what matters and what happens next. AI changes that relationship with software.

The interface can become a conversation, while SAM remains the source of truth for your business, because it's far more valuable when intelligence understands, and can help put it to work.

When technology carries more of the context reconstruction, administrative work, and repeatable processes consuming an agent’s day, the agent gets more time for what technology shouldn’t replace: building relationships, advising people, negotiating, solving problems, leading their team, and creating a world-class experience.

Mark and I have spent most of our lives in real estate technology, and the last several years building Workflow Secrets and SAM around this idea. There’s something special about going back to that January 2025 voice note and recording a demo like this less than two years later, having called your shot.

If you’ve been wondering what we mean when we say SAM is being built for what comes after the real estate CRM, watch the video.

We’ve spent a lot of time thinking about what the next evolution of real estate business software should actually look like.

For years, most of our technology has been built around a pretty simple relationship: we tell the software what to do, we put information into it, and then we come back later to find that information or trigger the next thing. Even with great CRM and automation tools, there is still a person sitting in the middle connecting the dots.

In real estate, that person is usually you...

You remember that the seller was nervous after the last showing. You know why Friday’s update matters to them. You remember that the closing date moved, which means three other things probably need to move too. You know that one client needs a phone call while another would much rather get a text.

That knowledge is incredibly valuable, but there is a problem when the business can only access it by going through you.

That’s the idea I keep coming back to when we talk about a business that can begin to “think with you.”

I don’t mean replacing your judgment. I don’t mean turning your relationships over to AI. And I definitely don’t mean creating some autonomous robot that runs around making decisions for your clients.

I mean building enough context into the business that the system can begin to understand what is happening, what matters, how things are connected, and when your attention may actually be needed.

That is a very different relationship with technology.

Instead of the agent always being the integration layer between the contact record, the calendar, the transaction, the conversation, the process and the next action, we can start giving the system enough knowledge to help connect those pieces.

That’s a big part of what we’re working through inside Built On C.O.R.E.

The goal isn’t to get the human out of the business.

The goal is to get more of the business out of the human’s head so that your expertise can become part of a system that supports you.

I unpack that idea in this clip.

If you’re a productive real estate agent, the hardest part of your business may not be doing the work.

It’s noticing everything that needs to be done.

The buyer who replied last night, the seller who hasn’t confirmed tomorrow’s photography, the milestone getting closer, or the past client you meant to reconnect with.

None of those things are especially difficult on their own.

The problem is noticing all of them while you’re driving to a showing, sitting at a closing, answering your team, talking to buyers, negotiating deals, and running the rest of the business.

And the better your business gets, the harder that becomes.

For years, real estate software has gotten better at storing information, tracking deals, creating tasks, and automating what we tell it to do. More recently, AI has gotten very good at writing, summarizing, answering questions, and helping us execute once we tell it what we need.

All useful. But creation isn’t the hard part anymore. Knowing is.

That’s the problem we’ve been working toward solving with SAM Intelligence.

The next evolution of SAM is giving the software a deeper understanding of how your business works: your processes, routines, priorities, rules, plans, and eventually the patterns in how you actually operate.

So instead of only remembering what you put in, or waiting for you to tell it what to do, SAM can increasingly recognize when what's happening doesn’t match what should be.

That could mean surfacing a conversation that needs attention, recognizing a stalled process, or noticing a repeated manual step and asking whether it should become part of your system.

Not just automation. Operational awareness.

And you are still the authority. The goal isn’t a black box deciding how your business should run. It’s SAM understanding how you run it, then helping you recognize what deserves attention and what should happen next.

There will always be conversations, relationships, judgment, and decisions that belong to you.

But remembering, checking, chasing, connecting, and constantly scanning the business for what you might be missing?

We don’t think all of that should have to live in your head.

This video is one of the best glimpses yet into what we’re launching with SAM Intelligence.

Your business has a lot going on. What would SAM notice?

If follow-ups get delayed, client updates depend on memory, important dates have to be watched manually, or you find yourself constantly reminding everyone what happens next, you may not have a productivity problem.

You have a systems problem.

You work hard, care about your clients, and know your business. A lead comes in while you are driving. A seller sends a question during an appointment. An inspection gets scheduled, a transaction closes, or a past client mentions something that should probably be followed up on six months from now.

The information may get saved somewhere. That does not necessarily mean the business knows what to do with it, meaning the problem is that too much of the business still depends on them personally remembering what needs to happen next.

That is what our founders, Mark Stepp & Cody Stepp are spending time on in our recently finished, C.O.R.E. Systems Field Guide for Real Estate Business Owners.

The entire guide is now a free audiobook, which is live on YouTube and Spotify, or digital download.

In a little over 2 hours and 40 minutes, it goes deep into what actually makes a real estate business dependable, and what has to be true before technology or automation can really help.

Throughout the guide, Mark gives the path to practical implementation of AI and automation, talks about the difference between simply having information and actually having a system.

Toward the end, listeners are given practical ways to take one real process in their business, define what should happen, test it for seven days, and improve it based on what actually happens.

The guide was intentionally built to move from diagnosis into action. What this means is , you do not need to rebuild your whole business this weekend.

You need to find one place where the business currently depends on you remembering what happens next, and make that process a little more dependable. That is how better systems get built.

Fall is upon us and if that is something you have been thinking about in your own real estate business, you can listen to the full audiobook here:

You do not have to fix everything. Start with one real process, figure out what should happen next, and then build the business so it knows too.

08/22/2026

One of the most dangerous assumptions we can make with automation is:

**“If it’s in the workflow, it must be right.”**

But what if the workflow itself is missing something?

Think about how most real estate systems get built.

You create a checklist.

You build a Routine.

You add the steps you know need to happen.

Then you automate it.

But maybe you forgot a step.

Maybe your brokerage changed its process.

Maybe your team started doing something differently.

Maybe there is something you’ve been doing manually for six months that never made it into the Routine.

Or maybe a step was intentionally removed for a good reason.

Those are very different situations.

That’s why, as we build SAM Intelligence, we’re making an important distinction:

**Your Routine is evidence of how you intend to operate.
It is not automatically the authority on how you should operate.**

SAM should be able to compare:

• What your Routine says should happen
• What your team actually does
• What your documented processes say
• What brokerage or business policies require
• What you have explicitly decided
• What has consistently produced the desired outcome

And when those things don’t match?

SAM shouldn’t quietly change your system.

It should recognize the discrepancy and say:

**“I found something we should look at.”**

Maybe the Routine is wrong.

Maybe the documentation is outdated.

Maybe the team found a better way.

Maybe the exception was intentional.

Or maybe something really is falling through the cracks.

That is the difference between simply automating a business...

and actually **understanding how the business operates.**

That’s where I believe AI becomes much more useful.

Not just:

**“Do what I programmed.”**

But:

**“Help me determine whether what I programmed still makes sense.”**

That is a very different kind of business system.

And that is what we’re building SAM to become.

Well… we threw our hat in the ring. 🚀

Workflow Secrets founder Cody Stepp has officially submitted our packet for the 2026 NAR Pitch Battle.

For decades, real estate technology has asked agents to do something that never made much sense to us:

Become software experts just to run their businesses.

Learn the CRM. Build the workflows. Connect the tools. Remember the follow-up. Move the data. Manage the automation. Keep the entire system running.

We think the software should do more of that work; that’s what we built in SAM.

AI-native real estate software that brings contacts, deals, calendar, communication, and automations into one workspace. But, more importantly, SAM understands both what is happening inside the business and what the platform can do about it.

What this means is helping connect Context → Decisions → Actions → Systems.

The agent shares what matters and what they want to accomplish, and then SAM helps build the system that carries it forward.

Mark A. Stepp and I’ve spent years building this alongside real estate professionals; now we use SAM to run our own company, listening closely to our customers, and working toward one question:

What comes after the CRM?

We believe we’ve built the answer in SAM, and now, we get to put that idea in front of NAR Tech & Innovation. 🏁

Wish us luck!

The CRM stored the business.
SAM runs the systems that move it forward.

Your CRM may hold the information, but are you still holding the entire system together?

You remember what the client said.
You decide what changed.
You figure out what needs to happen next.
You update the tasks, messages, dates, reminders, and handoffs.

And when one important detail changes, you become the engine rebuilding the plan.

For more than three decades, Mark A. Stepp has helped shape real estate technology through AdvantageXI, Realvolve, workflow automation, training, and implementation.

SAM is what Mark and Cody Stepp built next, taking decades of work in the real estate technology and CRM space, and building an AI-native Systems Accelerator from the ground up around a connected operating loop:

Context → Decision → Action → System

SAM is designed to understand what is happening in your business, help determine the next right action, prepare or carry the work forward, and connect that action back to an ongoing process, so progress does not disappear as another one-off task. AI with a purpose, not just a task.

You also do not have to throw away everything you have already built to explore what comes next, but you do need to understand the process.

Bring us:
• The system you use today
• One process that still depends too heavily on you
• The information or workflows you are worried about losing

During a one-hour, founder-led Systems Review, Mark or Cody will help you identify what should be preserved, what could be rebuilt, and whether SAM is the right next step for your business.

This is not a canned feature presentation, just a conversation built around how your business actually works, and what it would look like to apply better tools and stronger systems for today's AI-enabled real estate market.

What actually happens when you move your real estate database into a new system?

For many agents and teams, that question is the reason they stay with a CRM that is no longer working for them.

They assume migrating will mean lost contacts, weeks of cleanup, broken processes, or rebuilding the business from scratch.

But the process can be much simpler.

It starts with the data you already have.

Whether that is a database with a few hundred contacts, hundreds of thousands of leads, or information spread across multiple spreadsheets, the first step is getting it exported and ready to move.

From there, SAM uses AI-assisted importing to help identify and map the information in your file.

Once the contacts are inside SAM, you can filter the database, review specific groups of people, update outdated information, and create cleaner, more useful lists.

In some cases, we can also connect directly with the system you are leaving, helping reduce even more of the manual work involved.

And for agents or teams who would rather have help throughout the process, our team offers optional concierge setup and migration support.

We have helped businesses move from systems across the real estate industry, and one thing remains true regardless of the size of the database:

Moving your data is not the finish line.

The goal is to put that information into a system that can actually use it to support personalized communication, stronger follow-up, and automated Routines that keep the business moving.

In this video, Cody Stepp walks through how the migration process works and what you should consider before making the move.
