Need a simple way to create and organize multiple QR codes in SharePoint?

You can build a QR code library right inside SharePoint, making it easy to store QR codes along with useful information about each one. With a Gallery View, the QR codes can also be displayed in a clean, visual format instead of a standard list.

In this post, I walk through how to set it up step by step, including creating the library, adding the right columns, generating the QR codes, and displaying them in a Gallery View.

Tired of chasing people for SharePoint approvals through emails and follow ups?

SharePoint approvals give you a much easier way to send a file for approval and see exactly who is reviewing it and where it stands.

Reviewers can handle the approval right inside Microsoft Teams, where they can approve, reject, reassign, or leave comments. Every decision is tracked automatically, so everyone can see what's happening and nothing moves forward without the right sign off.

Quick Steps in SharePoint used to be easy to miss because users had to click through menus to find them. Now, you can add a Quick Steps column directly to a List or Library, putting the action button right next to the file and its metadata.

You can add multiple Quick Steps to one column, use conditional Quick Steps so buttons only appear when certain conditions are met, and even customize the button fill color.

See how to set it up:

Still managing mileage reimbursements in a complicated Excel spreadsheet?

Microsoft Forms and Lists can make the process much easier.

You can create a mileage reimbursement form that collects travel dates, miles traveled, the purpose of the trip, and supporting documents. Then, using branching, the form can ask whether the employee has another trip to enter and only show those additional questions when needed.

The submissions are stored in Microsoft Lists, and you can even add a calculated column to automatically calculate the reimbursement amount based on total miles traveled.

I walk through how to build it from start to finish here: https://sharepointmaven.com/how-to-create-a-mileage-reimbursement-form-by-using-branching-capability/

Did you know you can create a QR code for any SharePoint page without using a separate QR code generator?

SharePoint doesn't have a built in QR code feature, but your browser does. In Google Chrome or Microsoft Edge, you can quickly create and download a QR code that links directly to a SharePoint page.

It's a handy option for giving employees quick access to your intranet homepage, HR site, employee handbook, policy acknowledgements, onboarding site, training resources, and more.

I've included the steps for both Chrome and Edge here:

Too many file versions in SharePoint can quietly eat up your storage.

The good news is that version history can be managed at three different levels:

Tenant level: Set default version limits across SharePoint.
Site level: Configure version settings with PowerShell.
Library level: Adjust versioning directly in the library settings.

The rule to remember? The lowest level setting always wins.

So if your library has its own version settings, those will override the site and tenant settings.

Teams or SharePoint? It's a question I still get all the time.

But here's what many users don't realize: Teams and SharePoint aren't really competing platforms. They're closely connected.

Teams gives you chat, conversations, meetings, and an easy way to collaborate, while SharePoint handles much of the content behind the scenes, including the files you access through Teams.

So which one should you use? In many cases, both. It really comes down to how you prefer to work and what you're trying to accomplish.

I explain when to use each one and how they work together in the latest article here: https://sharepointmaven.com/teams-or-sharepoint-which-one-to-use/

Old content doesn't always need to stay front and center in SharePoint.

Archiving can help reduce storage costs, keep outdated information from muddying search results, improve data accuracy, and even help Copilot return more relevant answers because it's working with newer content. It can also help organizations manage retention periods more effectively.

In this article, I cover five reasons content archiving matters and five different ways you can approach it in SharePoint: https://sharepointmaven.com/why-content-archiving-is-so-important-in-sharepoint/
