Start with what metadata is: extra information about a document, such as its type, department, or client name. Then show how to add it and use it to sort, filter, and find information faster.

SharePoint navigation links can be translated so people see them in their preferred language. The same process works for both site navigation and hub navigation.

Start by enabling multiple languages on your site and adding the alternate languages you need. Then select Edit Navigation, open the three dot menu beside each link or label, and choose Translations. Enter the translation for each enabled language, select OK, confirm your changes, and save the navigation.

Once saved, the translated link or label appears according to the language set in the signed in user's account.

Need to share a Loop page or component without giving someone editing access? You can set a link to view only.

For a Loop page, select Share > Page Link, open Settings, choose who can access it, change Can edit to Can view, and select Apply. Then share the copied link.

For a Loop component, select Copy component, open Settings on the link, choose the recipients, change Can edit to Can view, and select Apply.

A few things to know: you can share individual pages and components this way, but not an entire Loop workspace. People with read only access also can’t share that content with others. A Loop component keeps its view only experience when its link is pasted into Teams or Outlook.

Creating meeting notes by hand can take time, especially when you have different kinds of meetings to document. Microsoft Teams and Copilot can create custom summaries based on templates you set up for your meetings.

To get started, make sure the meeting is recorded and transcribed. After the meeting, open its chat, select View recap, then choose Custom summary and Create template. Add instructions for the format and details you want included, such as the information you need for different types of client calls. Once Teams generates the summary, you can copy it into Word, OneNote, Loop, or another place where you keep notes. You can edit your templates later, and they’re stored in the Recordings folder in your OneDrive.

External sharing can be useful for collaboration, and SharePoint gives you several ways to manage it without turning it off everywhere:

1. 𝗖𝗵𝗼𝗼𝘀𝗲 𝘄𝗵𝗶𝗰𝗵 𝘀𝗶𝘁𝗲𝘀 𝗮𝗹𝗹𝗼𝘄 𝘀𝗵𝗮𝗿𝗶𝗻𝗴: Keep external sharing off for sites that don’t need it and on for those that do.

2. 𝗦𝗲𝘁 𝗱𝗼𝗺𝗮𝗶𝗻 𝗿𝗲𝘀𝘁𝗿𝗶𝗰𝘁𝗶𝗼𝗻𝘀: Block certain email domains or allow sharing only with trusted ones.

3. 𝗟𝗶𝗺𝗶𝘁 𝘄𝗵𝗼 𝗰𝗮𝗻 𝘀𝗵𝗮𝗿𝗲: Use a security group to choose which users can share externally.

4. 𝗦𝗲𝘁 𝗱𝗲𝗳𝗮𝘂𝗹𝘁 𝘀𝗵𝗮𝗿𝗶𝗻𝗴 𝗹𝗶𝗻𝗸𝘀: Choose the link type and whether the default permission is view or edit.

5. 𝗚𝗶𝘃𝗲 𝗹𝗶𝗻𝗸𝘀 𝗮𝗻 𝗲𝘅𝗽𝗶𝗿𝗮𝘁𝗶𝗼𝗻 𝗱𝗮𝘁𝗲: Set a time limit so external links don’t stay active indefinitely.

6. 𝗛𝗲𝗹𝗽 𝘂𝘀𝗲𝗿𝘀 𝘀𝗵𝗮𝗿𝗲 𝗰𝗼𝗻𝗳𝗶𝗱𝗲𝗻𝘁𝗹𝘆: Train employees to share the specific file or folder they intend to share.

Email addresses in SharePoint Lists don't have to sit there as plain text.

You can make them clickable so users can select an email address and open their default email client without copying and pasting. Here's how:

🔹 Add a Hyperlink column to your SharePoint List. A Text column won't work for this.
🔹 In the URL field, add the mailto: prefix before the email address. For example: mailto:[email protected]
🔹 In the Text to display field, enter only the email address.

Once saved, clicking the address will open your default email client with the address already added to the To field.

This also works in the Hero, Editorial, Call to Action, Quick Links, and In Line Text URL web parts.
