One of the biggest questions businesses are asking about AI is, "When should we use it?"

I think that's why this update to Teams is a sensible one.

Microsoft’s making it easier for meeting organizers to switch AI features on or off.

That includes tools like meeting summaries, AI-generated notes and Copilot assistance.

On the face of it, that might sound like a step backwards.

After all, if AI is supposed to save us time, why would anyone want to turn it off 🤷

But not every meeting is the same.

For a project catch-up where you want automatic notes and action lists, AI could be genuinely useful.

But a confidential discussion about employees, finances or a potential acquisition?

You might decide you'd rather keep AI out of the conversation altogether 🤐

Having that choice is key.

I also think we're reaching a more mature stage of AI adoption.

When these tools first appeared, there was a lot of excitement about adding AI to everything.

But now businesses are becoming more selective.

They're asking where AI improves productivity and where it adds another layer that isn't needed.

It's a healthy approach 👍

Good technology should adapt to the way your business works… not force you to adapt to the technology.

For me, the real takeaway from this announcement is that businesses are recognizing AI works best when people remain in control.

There will be meetings where AI-generated notes save hours of admin.

There will be meetings where nobody wants an AI assistant listening, summarizing or contributing.

The important thing is that you can decide which approach fits the situation.

One of the biggest mistakes I see businesses make is thinking cybersecurity advice has a long shelf life.

It doesn't 🙅

The habits that kept you safe five or ten years ago aren't necessarily the ones that will protect you today.

Take passwords, for example.

There are still plenty of people using the same password for multiple accounts because it's easier to remember.

But it's also much easier for cybercriminals.

If one website suffers a data breach and your password is exposed, attackers will try that same password on dozens of other services…

Including your email and business accounts 😱

Or think about public Wi-Fi.

Many people still assume it's fine as long as they're "only checking emails".

But public networks are a popular hunting ground for criminals, and fake Wi-Fi hotspots are designed to look almost identical to the genuine ones 😳

Then there are scams.

There was a time when phishing emails were full of spelling mistakes and strange formatting.

But those days are largely behind us.

AI is helping criminals write convincing messages that look professional, sound natural and are often personalized using information they've found online 🤖

That's why I think one of the most outdated security habits of all is believing you'll always be able to spot a scam yourself 👀

Of course, you still need to pay attention.

But modern cybersecurity is more about having the right protections working in the background.

🔒 Strong, unique passwords
🔒Multi-Factor Authentication (where you approve a login using your phone or an app)
🔒Automatic software updates
🔒Reliable security software

These reduce your reliance on spotting every threat with your own eyes.

Technology has changed dramatically over the last few years.

The way we protect ourselves must change with it.

Microsoft is working on a new Windows feature that could make a serious PC problem much less disruptive ☁️

It’s called Cloud Rebuild.

While you may never use it yourself, it could make life easier for whoever looks after your IT.

If a Windows PC develops a major problem and needs to be completely rebuilt, your IT support partner normally must reinstall Windows and make sure everything the computer needs is put back in place.

Cloud Rebuild is designed to simplify that process.

Instead of relying on installation files stored on a USB drive, the computer can download a fresh copy of Windows directly from Microsoft.

It can also reinstall the software Windows needs to work properly with the computer’s hardware.

In other words, there are fewer things for your IT support partner to find and prepare before they can get the machine working again 👍

And when it’s a computer somebody relies on every day, anything that helps reduce downtime is welcome, right?

But there’s an important distinction.

Cloud Rebuild can help recover Windows. It doesn’t replace a proper backup of your business data 🚫

Getting a computer running again is only half the job if the files and information you need aren’t there when you log back in.

Developments like this are useful, but they don’t change the basics.

Your business still needs reliable backups and a plan for getting people working again when technology fails.

For years, the biggest complaint about meetings has been what happens after they finish.

🤔 Who was supposed to do what?
🤔 What decisions were made?
🤔 Where did someone write the notes?

Microsoft is putting a lot of effort into solving those frustrations in Teams.

A new update is bringing AI-powered notes into face-to-face meetings.

Even if you're all sitting in the same room, Teams can capture key discussion points, action items and decisions as they're happening.

I think that's a much more practical use of AI than asking it to generate content for the sake of it.

Often, we don’t need more information, we need to stop losing the information we already have, right?

How many meetings finish with everyone agreeing on the next steps, only for people to remember them slightly differently a week later?

Having an accurate record can save a lot of follow-up emails and avoid those awkward conversations where everyone is convinced they heard something different 😬

The update also includes a few smaller improvements that will probably make life easier.

Teams chats are becoming easier to organize, guest invitations will come from the organizer instead of a no-reply address, and Microsoft is continuing to add more controls so you can decide when AI should and shouldn't be involved.

As AI becomes part of more workplace tools, you shouldn't feel you have to switch everything on.

Some meetings will benefit from AI-generated notes.

But others may involve confidential discussions where you'd rather not use them at all.

So having a choice is important.

It’s good that Microsoft is working on removing the small frustrations people deal with every working day.

How many times have you typed almost exactly the same email?

“I’m away until...”

“Thanks for getting in touch...”

“I’ve received your message and will come back to you shortly...”

Most of us have a handful of replies that we write repeatedly 😵‍💫

Microsoft is going to make that a little easier in Outlook.

Instead of relying on a standard out-of-office message that gets sent to everyone, it’s introducing more flexible automatic replies based on rules that you choose.

For example, you could send one automatic reply to customers, a different one to suppliers, or trigger a specific response when an email contains certain words or comes from a particular sender.

That might sound like a small update, but I think it’s one of those features that could save people a surprising amount of time ⏳

The best technology often takes away the boring, repetitive jobs so people can spend more time on the conversations that need a human touch.

There’s a balance to strike, though ⚖️

Just because an email can be automated doesn’t mean it should be.

If someone has taken the time to ask a detailed question or explain a complicated problem, a generic automatic reply probably isn’t going to leave the best impression.

On the other hand, there are plenty of routine emails where a fast, consistent response is helpful.

📧 Sending the next steps in a process

They’re the sort of repetitive tasks that software should be taking care of.

I also like the direction this says Microsoft is heading in.

For a while, many of the Outlook updates seemed to revolve around AI. Useful in some cases but not always solving the problems people have.

This feels much more practical.

It's focused on making everyday work a little smoother.
