Helping Small Business Owners Keep Their Books Organized and Tax-Ready

Running a business is hard enough without worrying about your bookkeeping. After owning my own business for 13 years, I know how easy it is for bookkeeping to get pushed to the bottom of the to-do list. That's why I started Western Chick Bookkeeping—to help small business owners keep their books organized, accurate, and ready for tax time. As a Certified QuickBooks Online ProAdvisor and bookkeeper, I provide monthly bookkeeping, catch-up and clean-up services, and QuickBooks Online setup for small businesses. My goal is simple: to help you spend less time worrying about your books and more time running your business.

Well…that’s a wrap on Q3! 👋

Before we flip the calendar to October and officially head into the last quarter of 2026, this is a good time to give your books a quick once-over.

Are your bank and credit card accounts reconciled?

Do you have transactions sitting in Uncategorized because you were going to “figure those out later”? 😬

Is all of your income recorded?

Are there missing receipts or purchases you still need to document?

And — my personal favorite — are there transactions your bookkeeper has been asking you about that you still need to answer? 😂

You don’t have to have everything absolutely perfect by midnight tonight. But knowing where your books stand at the end of Q3 gives you three whole months to clean things up instead of discovering problems when tax season is staring you in the face.

October 1 starts the final quarter of the year.

Clean books going into Q4 = one less thing hanging over your head as year-end gets closer. 📚💛

Save this little Q3 checklist and give your books a quick check before heading into October.

☕ Happy National Coffee Day!

Coffee and I go way back. 😂 After spending years in the coffee world, I may have traded the coffee shop for bookkeeping…but the coffee definitely came with me!

These days, you can usually find me at my desk with QuickBooks open and an iced Americano close by. 🧊☕ Apparently some business essentials never change!

So in honor of National Coffee Day, I have to know…

What’s your go-to coffee order? ☕👇

Mine? Iced Americano. Pretty much always. 🤎

Ever have one of those weeks where you feel like you're busy all day...but somehow your actual to-do list isn't getting any shorter? 😂

It doesn't take much to get out of a routine. A busy weekend, appointments, unexpected work—or just life happening—and suddenly you're trying to figure out where to start again.

Sometimes the best thing you can do is stop trying to tackle EVERYTHING and reset.

Pick a few things that really need your attention this week, make a plan for when you'll work on them, and start there.

You don't have to catch up on everything at once. A little progress gets you moving in the right direction again.

👉 Check out the graphic for a few simple ways to reset your week.

What's ONE thing you really want to get accomplished this week?

Your books may be in the cloud—but that doesn't mean you shouldn't keep your own financial records. ☁️

Cloud accounting software makes storing and accessing your bookkeeping information much easier, but it's still a good idea to periodically save copies of the financial information that's most important to your business.

Think year-end financial reports, bank and credit card statements, loan documents, receipts, payroll records, tax documents, and other records you may need down the road.

And don't forget about security—where you store those records matters too!
You've put a lot of work into keeping your books organized. Make sure the documents behind those numbers are organized and protected too.

When was the last time you checked how—and where—your important business records are being stored?

Tax time gets a whole lot easier when everyone does their part. 🙌

And no, your bookkeeper and your tax professional aren’t the same person — at least not around here! 😂

As your bookkeeper, my job happens throughout the year. I’m keeping your transactions organized, your accounts reconciled, and your books as accurate and up-to-date as possible.

Then, when it’s time for taxes, your tax professional has clean, organized financial information to work with instead of trying to untangle a year’s worth of mystery transactions.

But there’s one more pretty important person in this equation…

YOU.

Keeping business and personal expenses separate, hanging onto important paperwork, and answering those occasional “Hey, do you remember what this $642 charge was for?” questions can make a BIG difference. 😉

Good bookkeeping doesn’t replace a good tax professional.

A good tax professional doesn’t replace good bookkeeping.

And neither one can do their best work without a little help from the business owner.

When all three pieces work together, tax time can be a whole lot smoother — and that’s something every small business owner can appreciate. 💛

Save this one as a little reminder that tax-ready books are built all year long.

Q4 has a sneaky way of showing up FAST. 😅

One minute it’s September, and the next thing you know, you’re looking at December wondering where the last three months went.

Before Q4 gets rolling, this is a great time to think about what you want the last quarter of 2026 to look like for your business.

Maybe you want to hit a certain revenue goal.
Maybe there’s a marketing idea you’ve been putting off.
Maybe you just want to finally get caught up on the things that have been sitting on your to-do list all year.

And yes… maybe one of those things is your bookkeeping. 😉📚

Whatever your goals are, they’re a whole lot less overwhelming when you break them down.

Start with your Q4 goal → decide what needs to happen each month → then turn those into smaller weekly tasks.

And while you’re planning ahead, don’t forget about your books. Getting caught up before the end-of-year rush means fewer surprises, cleaner numbers, and a much easier handoff to your tax professional when tax season arrives.

You still have an entire quarter to work with. Make it count. 💛

Save this one for your Q4 planning session!

Business expense or tax deduction… aren’t those basically the same thing? 🤔

Not necessarily!

When you’re running a business, money is going out the door for all kinds of things — software, supplies, equipment, advertising, insurance, repairs… the list goes on and on.

Those purchases may absolutely be business expenses, but that doesn’t always mean they’re handled the same way when tax time rolls around.

Some expenses may be deductible right away. Others may need to be deducted over several years. And some expenses might not be deductible at all.

That’s one reason proper bookkeeping matters so much.

When everything is categorized correctly throughout the year, you’re not scrambling at tax time trying to remember what that $847 purchase from eight months ago was. 😅 Your books give your tax professional a much clearer picture of what your business spent and where the money went.

And one little bookkeeping reminder: your bookkeeper’s job isn’t to decide what you can claim on your tax return. Our job is to make sure your financial records are accurate, organized, and ready for your tax professional to work their magic.

Good books make tax time a whole lot easier. And I’m a pretty big fan of anything that makes tax time less stressful. 😉📚

Save this one for the next time you’re wondering, “Is this a business expense… or a tax deduction?”

Your bookkeeper, tax professional, and CFO may all work with your numbers…but they don’t do the same job. 📚

And knowing who does what can make a BIG difference as your business grows.

Think of it as your financial team, with each person bringing something different to the table.

📚 Your Bookkeeper
This is where the foundation starts.

Your bookkeeper keeps your financial records organized and accurate throughout the year—categorizing transactions, reconciling accounts, keeping an eye on your books, and helping make sure your financial reports reflect what’s actually happening in your business.

In other words, we’re working with the numbers that tell the story of what has already happened.

📈 A Fractional CFO
A CFO takes those accurate numbers and looks ahead.

They can help with forecasting, cash flow planning, profitability, budgeting, and bigger-picture financial decisions.

They’re asking questions like, Where is the business going, and what do the numbers tell us about how to get there?

🧾 Your Tax Professional
Your tax professional takes a different view of those numbers.

They help with tax planning, tax-saving opportunities, filing requirements, and making sure you’re prepared when tax time rolls around.

And here's the part I really want small business owners to understand:

All three work better when the bookkeeping is accurate.

Your tax professional shouldn't have to spend tax season untangling a year's worth of transactions.

And a CFO can't make useful projections from financial reports that aren't reliable.

That's one reason I believe bookkeeping is about so much more than entering transactions into QuickBooks.

Clean, current books give the rest of your financial team something solid to work with. 🤎

And the closer we get to year-end, the better it feels to know those numbers are ready when they're needed.

Reconciliation isn’t just for your checking account. 👀

When most business owners hear “reconcile your books,” their mind immediately goes to the bank account.

And yes—that one is important! But there are several other accounts that may need attention each month, too.

Think about all the different places money can move through your business…

💳 Credit cards — Does the balance in your books actually match the statement?

💰 Payment processors — Stripe, PayPal, Square and similar services can get messy quickly when deposits, processing fees and timing differences aren't recorded correctly.

🏦 Business loans — Payments often include both principal and interest, and those need to be recorded differently.

👩‍💻 Payroll accounts — Payroll brings its own set of transactions, liabilities and payments that should agree with your payroll records.

📄 Accounts receivable — Do your books show customers owing you money that they've actually already paid?

🧾 Accounts payable — Are there bills showing as unpaid that were actually taken care of months ago?

This is why reconciliation is about so much more than seeing whether the bank balance looks right.

It's one of the ways I catch things like duplicate transactions, missing expenses, incorrect balances, old transactions that should have been cleared, and payments applied incorrectly.

And those little things matter.

Because if the accounts behind your financial reports aren't accurate, the reports you're using to understand your business may not be accurate either.

Clean books aren't just books where everything has a category. They're books where the numbers can be backed up. 🤎

So yes...around here, we really do keep calm and reconcile on. 😂

The busier your business gets, the easier it is for bookkeeping to become a “later” problem. 📚

You start out with good intentions.

You’ll categorize those transactions tomorrow.
You’ll reconcile the bank account this weekend.
You’ll figure out that weird charge when you have more time.

And then suddenly another month has gone by…and “later” has turned into a pretty good pile of bookkeeping. 😅

If that sounds familiar, you’re definitely not the only business owner who’s been there.

The good news? Being behind doesn’t mean you have to stay behind.

Getting your books cleaned up can mean:

✨ Categorizing transactions that have been sitting there waiting
✨ Reconciling your bank and credit card accounts
✨ Tracking down duplicates or transactions that don’t belong
✨ Cleaning up accounts that have gotten a little messy
✨ Making sure your numbers actually make sense
✨ Getting everything organized so you know where your business stands

And once everything is caught up, keeping it that way becomes a whole lot easier.

That’s where I come in. 🤎

You keep doing what you do best—running your business. I’ll work on getting the bookkeeping cleaned up, organized, and back on track.

Because opening QuickBooks shouldn’t make you want to slowly close your laptop and pretend you never saw it. 😂

Imagine heading into the next month knowing your books are caught up, reconciled, and actually make sense.

Sometimes getting there just takes a little help from someone who actually likes doing the bookkeeping. 🤎..
