Before you choose an AI tool for September, start with the problem—not the tool.

Take five minutes to map one real workflow:

1. BUSINESS PROBLEM
What is slow, repetitive, inconsistent, or being missed?

2. CURRENT PROCESS
What happens now, from beginning to end?

3. DESIRED RESULT
What should become faster, easier, more accurate, or more visible?

4. HUMAN CHECK
Which decision or exception must remain with a person?

5. SUCCESS MEASURE
What number will show whether the change worked?

STARTING EXAMPLE:
Problem: New leads are being missed.
Current process: Website inquiries enter email and are tracked manually.
Desired result: Every lead enters one visible pipeline and receives timely follow-up.
Human check: The owner approves personalized offers and exceptions.
Success measure: Percentage of leads recorded and followed up within the chosen service standard.

MYTH: If the AI output looks good, the system is working.

FACT: A polished output is not proof.

AI can produce impressive answers, reports, images, recommendations, and decisions. But in a business process, “looks good” is not the same as works correctly.

Before trusting an AI-supported workflow, ask:

🔹 What counts as correct?
🔹 What counts as failure?
🔹 Who reviews the result?
🔹 Which edge cases have we tested?
🔹 Can we identify and correct errors?
🔹 Is the system actually improving the agreed business measure?

On August 25, 2026, Anthropic announced a $5 million program supporting independent evaluations of AI’s impact on wellbeing. The broader lesson is highly relevant to business: define what you are measuring and validate results with real subject-matter expertise.

My job is to help you decide where AI belongs, where it does not, and what needs to be organized first.

As an AI Systems Architect and Business Strategist, I look at the whole operation:

The business model
The customer journey
The repeated tasks
The people responsible
The data available
The risks and approval points
The result the owner actually needs

Sometimes the right answer is an AI supported workflow.

Sometimes it is a clearer form, a better checklist, a connected CRM, or a documented process before any AI is added.

You do not need to adopt every new AI tool to keep up.

You need the right systems to support the way your business actually works.

The technology should support the strategy, not become the strategy.

AI can help organize intake and pricing, but your business still needs the final say.

Before automating either process, define what information every customer must provide, which answers change the price or next step, which exceptions require a person, who approves the final quote, where customer information is stored, and how you will check the system for mistakes.

The goal is not to remove judgment. It is to make routine work more consistent while protecting the decisions that require experience.

For a small business, that means moving past random prompts and choosing one measurable workflow:

Capture every new lead
Organize customer information
Send consistent follow-up
Track deadlines and tasks
Turn data into a useful report

Start with one question:

“What business result should improve if I use AI here?”

If the answer is unclear, the workflow is not ready.
