A Day in the Life of an Adult Day Care Administrator
6:30–7:30 AM — Opening & Staff Prep
• Arrive early, check facility security and overnight maintenance logs.
• Ensure all program areas (activity rooms, dining area, medication room, restrooms) are clean, safe, and set up.
• Quick huddle with staff: activity aides, nurses, CNAs, drivers, kitchen staff.
• Review the daily schedule, any participant health alerts, transportation issues, or staffing changes.
7:30–9:00 AM — Participant Arrival & Intake
• Oversee transportation arrivals (facility vans, paratransit, family drop-offs).
• Greet participants and ensure CNAs complete daily wellness checks: vitals, mood, mobility, and behavioral notes.
• Address any unexpected issues—late rides, family concerns, refusals of care, medication questions.
9:00–11:30 AM — Program Oversight & Compliance
• Check in on therapeutic activities: memory care groups, exercise sessions, music therapy, crafts.
• Ensure state licensure rules are being followed (ratios, documentation, dietary standards).
• Respond to staff questions, behavior challenges, or medical concerns.
• Review Medicaid attendance and billing logs; sign off on daily care notes.
• Meet with nurse or social worker about care-plan updates.
11:30 AM–1:00 PM — Meals & Midday Care
• Oversee lunch service and ensure dietary restrictions are followed.
• Monitor staff breaks and ensure ratios remain compliant.
• Handle any incidents (falls, agitation, illness) and contact families if needed.
1:00–3:00 PM — Administration & Family Communication
• Complete required paperwork: care plans, quality assurance logs, incident reports.
• Follow up on referrals from hospitals, caseworkers, and families.
• Conduct tours for prospective participants or caregivers.
• Review staffing schedules for the week, approve time-off requests, arrange agency staff if needed.
• Order supplies and coordinate vendor deliveries (food, PPE, activity supplies).
3:00–4:30 PM — Afternoon Activities & Transportation Outbound
• Supervise afternoon programming: cognitive activities, group games, or quiet rest periods.
• Work with transportation coordinator on departure schedule.
• Ensure each participant leaves safely—documentation, medications, mobility devices, and personal belongings.
4:30–5:30 PM — Wrap-Up & Quality Checks
• Hold brief check-out meeting with staff to review incidents, behavior notes, and next-day priorities.
• Review documentation for accuracy (critical for Medicaid billing and audits).
• Walk the building, lock up, and ensure safety protocols are completed.
