the season carryover checklist
save your decisions keep last season's booth rules, vendor categories, pricing, and arrival details together so your next planning meeting starts with answers
review what changed update only the dates, capacity, deadlines, and policies that actually changed instead of rewriting every vendor-facing detail from memory
bring back context returning vendors shouldn't have to explain their setup again, so keep their notes, payment history, and past communication attached
reuse the backbone VendorLoop helps small teams carry proven event details forward, leaving more time to recruit vendors and strengthen your market community

can we agree running a market shouldn't mean 4 tabs, a group text, and a clipboard. 90% of my night is sorting vendor forms and approvals by hand. I WANT TO RUN THE MARKET, NOT THE SPREADSHEET. put applications and approvals in one place

stop accepting checks for booth fees
they're not payment they're a future problem sitting in your drawer while you wonder who actually paid, bounced, or still owes you
setup isn't collections making vendors hunt for cash at load-in turns your busiest hour into awkward money conversations and missing-payment guesses
refunds need receipts when someone cancels, you shouldn't dig through texts and bank deposits to remember what they paid or what you promised
get payment clarity collect fees online, see every paid and unpaid booth clearly, and make refund calls before market morning gets chaotic

organizer advice from someone
who's done the 5am setup:

selling tickets proves people
want to attend.

it doesn't tell you
who needs power,
who's still unapproved,
or where 140 booths go.

if vendor logistics are messy,
the whole festival feels messy

nobody wants to hear this: new isn't better
your regulars hate it when every season brings new forms, new rules, and new deadlines they have to decode before they can apply again
stop reinventing logistics last season's booth sizes, fee structure, arrival instructions, and vendor categories already worked so reuse the framework instead of rebuilding it
change what matters update dates, fix the pain points, and refresh the vendor mix without throwing away every process your team already tested
save your energy the market needs your attention on community, vendor relationships, and better programming not copying old details into another blank setup

I stopped chasing booth fees yesterday and sent payment links through VendorLoop. Vendors paid online. I can see who’s paid, who hasn’t, and handle refunds in one place. I’ve been tracking checks, cash, and spreadsheets for 3 YEARS. I could cry
