Prescient Capital is looking for a highly organized and detail-oriented Administrative Assistant to keep our downtown Delafield, WI office running smoothly and efficiently. Job Responsibilities:
• Provides administrative support to ensure efficient operation of the office.
• Exhibits polite and professional communication via phone, e-mail, and mail.
• Supports team by performing tasks related to organization and strong communication.
• Ensures optimal use of office equipment, supplies, and inventories through preventive maintenance.
• Maintains workflow by analyzing and refining standard operating procedures, such as scheduling, communications, and loan processes.
• Coordinates internal and external resources to expedite workflow.
• Oversees and achieves organizational goals while upholding best practices.
• Provides information by answering lending-related questions and requests.
• Maintains supplies inventory by checking stock to determine inventory level, anticipating needed supplies, placing, and expediting orders for supplies.
• Makes travel arrangements such as booking flights, cars, and hotel or restaurant reservations.
• Plans, organizes, and schedules company meetings in the office, off-site, and via videoconference.
• Composes and distributes detailed meeting notes, as needed.
• Orders and oversees office supplies and food deliveries for group meetings.
• Writes and distributes email, correspondence memos, letters, faxes, and forms.
• Maintains various databases through customer relationship management (CRM) software.
• Act as a point of contact for brokers, investors (clients), and vendors.
• Answers phones, greets visitors, and makes outbound warm sales calls, as needed.
• Schedules appointments and maintain calendars.
• Prepares communications, such as memos, emails, invoices, reports, and other correspondence.
• Writes and edits documents from letters to reports and news releases.
• Creates and maintains filing systems, both electronic and physical.
• Assists with marketing and events as needed.
Work Hours & Benefits:
Standard 40-hour week; 8am-4:30pm
Compensation: commensurate with experience
Work location: Delafield, Wisconsin office
401K eligibility after 90 days
Health & dental insurance eligibility after 90 days

Required Skills & Qualifications:
• High school diploma or equivalent
• Superb written and verbal communication skills
• Strong organizational and time-management skills with the ability to multitask
• Aptitude for learning new software and systems
• Proven experience as an Administrative Assistant, Virtual Assistant or Office Admin Assistant
• Knowledge of office management systems and procedures
• Working knowledge of office equipment, like printers and fax machines
• Proficiency in MS Office (MS Excel and Word, in particular)
• Working knowledge of CRM software: Salesforce will be a plus
• Attention to detail and problem-solving skills
