JOB DESCRIPTIONS:
We are looking for an Office Manager to organize and coordinate administrative duties and front office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication and safety. Office manager duties and responsibilities include greeting customers, preparing work orders, invoicing customers, processing accounts payable, ordering office supplies, and providing general administrative support to our employees. Previous experience as a front office manager would be an advantage. A successful Office Manager should have experience with a variety of office software (Outlook, Excel, Word and QuickBooks) and be able to accurately handle administrative duties. Ultimately, the Office Manager should be able to ensure the smooth running of the office and help to improve company procedures and day-to-day operations.
RESPONSIBILITIES:
• Serve as the point person for office manager duties including: answering phones and greeting customers, responding to email inquiries, creating customer work orders and invoices, contact customers when orders are complete, filing, processing mail, ordering supplies, maintain cleanliness of office, and other duties as assigned.
• Process bi-weekly payroll through a payroll service.
• Process all accounts receivable and accounts payable in a timely manner.
• Assist customers carrying items to their vehicle, when possible.
SKILLS:
• Proven experience as an office manager or administrative assistant.
• Customer oriented and friendly, with good organizational and communication skills.
• Proficiency in MS Office (Word, Excel and Outlook) and QuickBooks in particular.
• Excellent time management skills and ability to multi-task and prioritize work.
• Attention to detail and problem solving skills.
• Able to work independently with minimal supervision.
• Be punctual.
• A creative mind with an ability to suggest improvements, and willing to learn new things.
• High School degree; additional qualification as an Administrative assistant or Secretary would be a plus.
Job Type: Full-time
Pay: $16.00 - $20.00 per hour, depending on qualifications
Hours: Monday-Friday, 8 am - 5 pm
