Three AI model launches in five days. Google. Meta. OpenAI. Costs dropped 50 to 80 percent. But here is the bigger number: 76 percent of small businesses use AI and only 14 percent run their business with it.

Getting more leads sounds like the answer when you’re trying to grow a business.

But what happens to the leads you already have?

Someone asks about your service. They receive a quick response, or maybe no response at all. There’s no clear next step, and a few days later, the conversation has been forgotten.

That’s not necessarily a lead-generation problem. It’s a follow-up problem.

Start with three things:

REPLY — Respond to the actual question instead of sending a generic sales pitch.

GUIDE — Make the next step clear. That could be booking a call, reviewing an offer, or getting the information they requested.

TRACK — Keep a record of the conversation, the next action, and when an appropriate follow-up is needed.

You don’t need a complicated system to start doing this better.

A simple, consistent process can help you manage inquiries more effectively. As your business grows, automation can support that process without replacing the personal attention your prospects need.

Before spending more money trying to attract new leads, take a look at what happens after someone reaches out.

Save this three-step follow-up system for your business.

You found a grant that looks like a great opportunity.

Now comes the question that matters: Are you prepared to apply?

Because finding funding and being ready to pursue it are two different things.

Depending on the funder, you may need to explain the problem you’re addressing, provide evidence that the need exists, prepare a realistic budget, and show that your business or nonprofit has the capacity to carry out the proposed work.

And every funder has its own requirements.

This is why grant readiness shouldn’t begin the night before an application closes.

The work you do before finding an opportunity can make the application process more organized and help you recognize which opportunities deserve your time.

Some of the most important conversations in business don’t fit into a 30-second video or a quick social media post.

Like what to do when you’re working hard but your business isn’t growing the way you expected.

Or how to use AI without wasting time on tools you don’t need.

Or why having a great mission doesn’t automatically mean your nonprofit is ready for grant funding.

These are real challenges. And they deserve real conversations.

That’s why Elite Elevation Group is now on Substack! 🎉

We’re sharing deeper insights on AI, business growth, grants, and the lessons that come with building something meaningful.

Ever read something AI wrote for your business and thought, “That doesn’t sound like us at all”?

There’s a reason.

AI can produce polished writing without understanding what makes your business sound different from everyone else’s.

Try this before asking it to write your next post or email:

Give it two examples of content you’ve already written or approved.

Explain what you like about those examples. Maybe it’s the direct language, conversational tone, practical advice, or the way you speak to your audience.

Then tell AI what to avoid.

That might be exaggerated claims, unnecessary buzzwords, repetitive phrases, or language your customers would never hear you use.

Now ask it to draft something using those guidelines.

And here’s the part you shouldn’t skip: read it, edit it, and make sure it actually represents your business.

AI should help you communicate more efficiently, not erase the personality that makes your brand recognizable.

Follow Elite Elevation Group for practical ways to use AI in your business.

Your nonprofit’s mission matters. But when you’re asking someone to fund your work, passion alone doesn’t answer every question.

Funders also want to understand what you’re going to do with the resources they’re considering providing.

Who will benefit?

What services or programs will you deliver?

How will you know whether those efforts made a difference?

For example, saying your nonprofit wants to empower young people is a meaningful mission.

Explaining that you plan to provide career-readiness workshops, identify how many participants you can realistically serve, and track skills gained gives a potential funder something more concrete to evaluate.

You don’t need to manufacture impressive numbers or promise outcomes you can’t guarantee.

You need a clear plan, a realistic approach, and a way to document progress.

That’s how you begin connecting your mission to measurable impact.

Know someone building a nonprofit? Send this to them.

A $50,000 grant sounds exciting.

But what if your business doesn’t qualify? What if the funding can’t be used for what you actually need? Or what if the reporting requirements are more than your organization can realistically manage?

That’s why the dollar amount should never be the first thing driving your decision.

Before you spend hours preparing an application, ask three questions:

Are we eligible based on the funder’s actual requirements?

Does this opportunity support the work we’re doing or planning to do?

Can we meet the application, spending, and reporting requirements?

A smaller grant that’s aligned with your goals may be more useful than a larger opportunity that’s completely wrong for your business or nonprofit.

And remember, finding an opportunity is not the same as qualifying for it.

AI doesn’t know your business just because you opened a chat. And that’s where a lot of business owners get frustrated.

They ask AI to write a sales email, create content, or build a marketing plan without giving it the information that makes their business different.

Then they wonder why everything sounds generic.

Before your next prompt, give AI some context:

→ What your business actually offers
→ Who you’re trying to reach
→ Examples of work or messaging you’ve already approved
→ How you want your brand to sound
→ What you want the final result to accomplish

Then review the output and make it your own.

The goal isn’t to write longer prompts. It’s to give AI better information to work with.

Just make sure you’re not uploading confidential customer or business information into tools without the appropriate protections.

Save this before your next AI session.

If the same task lands on your desk every week, there’s a question worth asking:

Does this actually need ME—or does it need a system?

Those aren’t the same thing.

Start here:

Document it.
What happens every time?

Simplify it.
What steps are unnecessary?

Systemize it.
How can the process happen consistently?

Then decide:

Automate it? Delegate it? Or keep it human?

Because not everything should be automated.

Relationships, judgment, leadership, creativity and important decisions may still need you.

But repetitive work shouldn’t automatically own your calendar simply because you’ve always been the person doing it.

You don’t have to be the system.

You need to build the system.

Save this Reel and choose ONE recurring task you’re going to document next week.

There comes a point in business when you realize…

You cannot keep doing everything yourself.

The emails.
The follow-ups.
The content.
The admin.
The marketing.
The client work.
The planning.

All of it.

We get it.

At Elite Elevation Group, we’ve learned this one through experience too.

But here’s the part nobody tells you:

Getting help doesn’t automatically make things easier.

Adding another person doesn’t fix a broken process.

Adding another AI tool doesn’t fix it either.

If there’s no clear system behind the work, sometimes adding more help just creates more moving pieces to manage.

And whew…that’ll teach you. 😩

Before you add another tool, hire another person or pile another responsibility onto your plate, ask:

How is this supposed to work?

Who owns it?

What happens next?

Can someone other than me follow the process?

Because the goal isn’t just to get more help.

The goal is to build something that can actually function without you touching every single piece of it.

We’ve had to learn that too.

And if you’re an entrepreneur, nonprofit leader or small business owner trying to figure out how to use AI and better systems to take some of the weight off your shoulders, come join us inside the AI & Grants Lab.

We’re learning how to work smarter, implement better and build with intention.
