Today's PSA: Read your contracts! Years ago, I made fun of someone for reading all 40+ pages of his closing docs when he purchased his first home.

Let me tell you! I'm not making fun of him anymore!!

We review contracts every day on behalf of our clients and just cringe seeing what is put in these contracts that benefit the vendor, not the client.

People don't know it, but MOST contracts can be negotiated.
If they won't negotiate, then don't sign it. That's a HUGE red flag! 🚩

Here are some things that you can do to ensure you are getting the best pricing from your vendor...

Put out an RFP. Representatives have a cost of goods that is the best they can do. That being said, there are many levels to the best cost of goods. By running an RFP you ensure you are getting the best discount or lowest Management cost.

Ask for “Most Favored Customer” guarantee. This will force a vendor to give you the best price for equipment / services. This process is a little bit more complicated that you might anticipate. If you need some guidance, we'd be happy to help you!

Why do some companies go with shorter equipment terms rather than longer ones?

This is typical because a company is interested in turning their technology around faster. In these situations, companies normally do a 36-month operating lease.

On the contrary, companies that want the best bang for their buck generally go with a 60-month contract. For one, you just get better usage on the machine's total life expectancy.

When the end of a copier lease nears, the majority of businesses just renew with their current incumbent—especially if they've had a good experience. There's no shame in this. In fact here are some of the benefits to working directly with your vendor:

1. Simple & quick option for your staff

2. No need to remove old equipment and replace with
new unless you decide to upgrade

3. If there’s no upgrade, you won’t have to familiarize your
staff with new equipment

Of the many pitfalls that exist in the copier industry, terms and conditions are the most important to pay attention to. The language used in your agreement can either make or break your budget. Many businesses are shocked to learn that if you don’t give your vendor a six month notice of cancellation before your contract ends, your contract will automatically renew for one more year.

These so called, rollovers are vicious and unforgiving—so pay close attention to your terms and conditions.
