This role is for someone who:
-Loves editing short-form videos
-Enjoys designing clean, modern graphics
-Is comfortable working with existing client assets (videos, promos, TV clips, images)

Can produce content at scale without sacrificing quality

What youโ€™ll be doing
-Turning client-provided videos and images into:
-Reels / TikToks / YouTube Shorts
-Static posts & carousels
-Story-formatted assets

-Producing around 90โ€“120 digital assets per month
-Following clear briefs, templates, and brand guides
-Working with tools like CapCut, Canva, and AI-assisted workflows

We are seeking a proactive and organized Virtual Assistant to support one of Project Apollo's clients in managing daily operations and communications effectively. The ideal candidate will excel in coordinating schedules, handling administrative tasks, and providing critical support to ensure smooth business operations.

Responsibilities:
Administrative Support & Communication:
Support correspondence provided by the CEO, Director of Operations, and Executive Assistant during business hours of 8:00 AM โ€“ 5:00 PM CST, ensuring urgent matters are promptly addressed.
Use Microsoft Teams for daily communication and project management.
Use WhatsApp for immediate alerts on critical customer service issues requiring swift action.
Prioritize and manage daily tasks based on email communications.
Promptly complete tasks and communicate in a timely manner.
Monitor task completion for safety meetings and training programs, coordinating with the Executive Assistant as needed.

Scheduling and Meeting Management:
Coordinate calendar management, scheduling both in-person and virtual meetings using platforms like Microsoft Teams.
Prepare agendas for meetings to facilitate structured discussions.
Document key points and action items during meetings, particularly in weekly Operations (OPS) meetings.

Reporting and Analysis:
Generate and distribute daily budget vs. actual reports to relevant managers and executives.
Support Sales and Marketing by completing requests for proposals (RFP) and requests for information (RFI).
Administer timekeeping reports, address discrepancies, and manage overtime issues.
Compile and present weekly Key Performance Indicator (KPI) reports to assess company-wide performance metrics. Publish the weekly scorecard.
Conduct quarterly account reviews to enhance client engagement and retention strategies.
Additional Responsibilities:

Collaborate with the Executive Assistant (EA) on administrative tasks as needed.
Assist in updating project tracking tools and special projects.
Qualifications:

Proven experience as an Administrative Assistant or in a similar role.
Strong organizational and time-management skills.
Strong communication skills, both written and verbal.
Proficiency in Microsoft Office Suite 365, Copilot, and familiarity with Business Intelligence tools is preferred.
Ability to prioritize tasks and work efficiently under pressure.
