Somewhere at your company there is a person who is about to be handed The List. You know the one. It arrives in September with a subject line like "gifting — thoughts?" and by Thanksgiving it has 340 rows, a tab called FINAL_v4, and a colour-coding system exactly one person understands.

That person is usually not in charge of gifting. They are in charge of everything else, and gifting got added because they are organised and kind and somebody had to (sound familiar???).

Here is the thing almost nobody tells them: the gift is not the hard part. Choosing the gift takes an afternoon. The list is what takes three weeks — because half of it is waiting on people who are not thinking about your gifting program at all.

And it runs into a real deadline. For gifts arriving before Christmas, custom-decorated programs have to be locked EARLY. Not because we want the order early — because vendor selection, product decoration and kitting genuinely take four to six weeks, and no amount of goodwill compresses that. Every year, the people who miss it miss it for the same reason: the gift was decided in good time and the list was not.

Three things that make it survivable:

Ask recipients for their addresses instead of digging them out of your CRM. The addresses you already hold were captured for invoicing, and they are wrong more often than you would guess.

Decide the exception rules once, at the start. What happens when someone's employer caps gift value, when an address bounces, when a recipient has left. Handled one at a time in November, those decisions are the delay.

Set a cut-off date for new names. Without one the list never closes, and production starts anyway.

We will say the unglamorous part too: a good list does not make a mediocre gift good, and no gift rescues a relationship that has already gone wrong for real reasons. What it does is make sure the thing you already decided to pay for actually arrives, at the right person, with their name spelled properly.

Something we've noticed after a lot of years of doing this: the best gift we ship in a given season is almost never the most expensive one.

We've built $200-a-person boxes that were perfectly fine. We've built $45-a-person boxes that people photographed and posted about.

There's a figure in this year's industry research that stuck with us. The average company spends about $866 per person per year on employee gifts and recognition. That works out to $2.37 a day. Spread thin enough across enough occasions, it vanishes — nobody remembers a $2.37 gesture. Concentrated into one thing someone actually keeps on their desk, it doesn't.

The difference is almost never the budget. It's whether somebody made an actual decision — who it's for, what it should feel like to open, and where it's going. That part is free. It's a twenty-minute conversation.

We'll say the unglamorous part out loud too: a gift won't save a client who's leaving because something is genuinely wrong. It isn't a patch for a product or a service problem. What it does well is keep a good relationship from quietly going cold, which is how most of them actually end.

So if you're sitting on “we should really do something this year” with a number that feels too small to bother anyone about — it probably isn't. Fall outings are running now and the holiday queue is filling in behind them, which makes this the good week to ask rather than the busy one.

There’s a step in our process that a lot of people tell us we could drop.

Before any box leaves here, someone opens it, straightens the contents, checks the logo, and takes a picture of it. Every box. Not a sample from the batch — all of them. It’s slower. It is absolutely the least efficient thing we do.

But here’s the thing about a gift: you’re never in the room when it gets opened. You don’t get to explain it, or apologize for it, or fix it. Whatever’s in that box is the entire conversation. So we’d rather have looked at it.

Fall outings are starting up and the holiday queue is filling in behind them — which is exactly when most gifting programs get sloppy. Ours gets photographed.
