We are a growing design and construction management firm seeking a highly organized and detail-oriented Construction Coordinator / Administrative Assistant to support our project teams and leadership. This role is critical to keeping projects running smoothly from concept through completion.
Position Overview
The Construction Coordinator / Administrative Assistant provides administrative, project coordination, and client support across multiple active projects. Key Responsibilities
• Provide administrative support to project managers and leadership
• Coordinate project documentation, contracts, submittals, and RFIs
• Assist with scheduling meetings, site visits, and project timelines
• Maintain organized digital and physical project files
• Communicate with clients, vendors, subcontractors, and internal teams
• Track project milestones, budgets, and deliverables
• Prepare reports, presentations, and correspondence
• Support permit applications and compliance documentation
• Assist with invoicing, billing, and expense tracking

Qualifications
• 2+ years of administrative or coordination experience (construction, architecture, or engineering preferred)
• Strong organizational and multitasking skills
• Excellent written and verbal communication abilities
• Proficiency in Microsoft Office (Word, Excel, Outlook); experience with project management software a plus
• Ability to work both independently and collaboratively
• High attention to detail and problem-solving mindset

Preferred Skills
• Experience with construction documentation or project lifecycle
• Familiarity with tools such as Knowify, Buildertrend, or similar software
• Knowledge of basic construction terminology and processes
