Nonprofit Administrative Assistant
A Nonprofit Administrative Assistant plays a vital role in supporting the daily operations of a mission-driven organization. This position combines traditional administrative responsibilities with donor relations, volunteer coordination, and organizational support to help advance the nonprofit’s mission.
Key Responsibilities
Office Management
• Answer and direct incoming phone calls
• Welcome visitors and assist clients, volunteers, and community members
• Order office supplies and maintain inventory
• Sort and distribute mail
• Organize and maintain electronic and paper filing systems
Database & Donor Management
• Process donations accurately and efficiently
• Prepare and send donor acknowledgment letters and receipts
• Maintain and update donor and client records in the organization’s CRM database
• Assist with donor communications and stewardship efforts
Event & Volunteer Coordination
• Assist with planning and coordinating fundraising events, community outreach programs, and volunteer activities
• Manage event registration and participant information
• Support volunteer recruitment, scheduling, and communication
• Help prepare event materials and logistics
Director and Staff Support
• Prepare staff meeting agendas and supporting documents
• Record meeting minutes
• Coordinate calendars, appointments, and meetings for executive leadership
• Assist with confidential administrative projects and reports
Qualifications & Skills
Successful candidates should be organized, adaptable, detail-oriented, and passionate about serving the community.
Technical Skills
• Proficiency with Microsoft Office Suite (Word, Excel, Outlook) or Google Workspace
• Experience with nonprofit CRM software such as Bloomerang, Raiser’s Edge, Salesforce, or similar donor management systems is preferred
• Familiarity with Mailchimp or other email marketing platforms is a plus

• Ability to prioritize multiple projects in a fast-paced environment
• Professional customer service skills with donors, volunteers, clients, and community partners

Preferred Qualifications
• Previous administrative experience, preferably in a nonprofit environment
• Experience supporting fundraising, grant administration, or community programs
• Passion for the nonprofit sector and commitment to the organization’s mission
