This Week in the Back Office

One sentence stuck with me this week:

"Sometimes you just need to accept it as it is."

There are some things we simply can't control.

People will make mistakes.
Unexpected problems will happen.
Plans will change.

But accepting reality doesn't mean we stop improving.
It means we stop wasting energy fighting the things we can't change and start investing it where we can make a difference.

For me, that's usually building a better system.

Because while I can't eliminate every mistake...

I can often make the next one less likely.

AI isn't replacing my work...

It's changing how I work.

This week I used AI to:
• Compare estimated labor to actual labor on jobs.
• Compare inventory movements against our project schedule to spot possible errors.
• Help create a detailed cleaning checklist for our office.

None of those tasks replaced my judgment.

They simply helped me find the information I needed much faster.

That's where I think AI shines for small businesses.

Not replacing people...

Helping us spend less time searching and more time making decisions.

The Hidden Cost of Being the "Go-To Person"

One of the easiest traps for a business owner to fall into is becoming the answer for everything.

Where's this file?
How do I do this?
Can you check this?
What should I tell the customer?

At first, it feels like you're being helpful.

Eventually, you realize you've accidentally built a business that can't move without you.

That's one of the reasons I love documenting processes.

Not because I enjoy paperwork...

Because every documented process is one less question that has to come back to me.

I don't think the goal of business ownership is to become more important.

I think it's to build a business that becomes less dependent on you over time.

This Week in the Back Office......

This week I spent more time analyzing business data than entering it.
>Employee time.
>Sales history.
>Inventory trends.

A few years ago that kind of analysis would have taken me hours.
Now using AI as tool helps me sort through the information much faster.

What's interesting isn't the technology.
It's what the data reveals.
>Patterns.
>Bottlenecks.
>Opportunities to improve.

I've realized that good decisions don't come from having more data. They come from understanding the right data.

That's where better systems—and now AI tools—can make a real difference.

Sometimes the problem isn't the employee...

One thing I've learned over the years of running a business is that every recurring frustration makes me ask the same question:

Is this really a people problem...or is it a system problem?

When an employee forgets a step, enters the wrong information, or asks the same question again, it's easy to assume they just need more training.

Sometimes that's true.

But sometimes the better question is:

"Have we built a system that makes it easy to succeed?"

Lately I've been spending a lot of time looking at data, workflows, and recurring issues—not to point fingers, but to look for patterns.

Because if the same mistake keeps happening, I'd rather improve the system than keep correcting the person.

The best businesses I've seen aren't the ones with perfect employees.

They're the ones that build systems that help ordinary people do great work consistently.

Take five minutes and answer these three questions.

What's the ONE thing that would make this week successful?
What can wait until next week?
What's one task you could simplify, automate, or delegate instead of doing it yourself?

Running a successful business isn't about getting everything done.

It's about getting the right things done.

This week I was meeting with another business owner, and they mentioned something that immediately took me back a few years.

Their employees don't know where they're working until the night before.

I smiled because...that used to be us.
Every afternoon became a scramble.
"Where am I going tomorrow?"
"Who am I working with?"
"What time do I start?"

It wasn't because we had bad employees.
It was because we had a weak system.

We eventually created a weekly planning process, assigned one person ownership of the schedule, and used a shared calendar that everyone could access.

Did it solve every scheduling issue?
Of course not.

But it eliminated most of the confusion and gave everyone more confidence heading into the week.

One thing I've learned after running businesses for years is this:
Many of the frustrations we blame on people are actually system problems.

Better systems don't just make owners' lives easier.
They make employees' jobs easier too.

That's why I enjoy helping businesses build the back office they never planned on needing.

The most expensive system in your business is the one that only exists in your head.

If you're the only person who knows:
• how to invoice a customer
• where important files are saved
• how to order inventory
• how to process returns
• how to price a job
• what needs to happen before payroll..then you've created a business that depends on your memory.

You don't have to document everything overnight.
Start with just one recurring task.
The next time you do it, write down the steps.

Future you—and anyone who helps you—will thank you.
Small systems create big freedom over time.
