Position Summary
We are seeking a full-time and a part-time Administrative Assistant to support daily office operations and client service. This role is ideal for a highly organized, detail-oriented professional with strong computer skills and an interest in the financial services industry.
The position includes structured training, including learning firm-specific systems, client platforms, and Customer Relationship Manager (CRM) software.
Key Responsibilities
• Answer phones and greet clients professionally
• Schedule client appointments and internal meetings
• Prepare, organize, and maintain client files
• Assist with new client onboarding paperwork
• Enter and maintain data in firm systems and CRM
• Prepare basic correspondence and documents
• Support advisors with administrative and client-service tasks
• Maintain confidentiality of sensitive client information
Required Qualifications
• High school diploma or equivalent
• No criminal history (background check required)
• Strong computer skills (Microsoft Word, Excel, Outlook)
• Professional communication skills
• Strong attention to detail and organization
• Interest in or basic knowledge of finance and financial terminology
• Ability to learn new software and internal systems
Preferred Qualifications
• College degree (Business, Finance, or related field)
• Prior administrative or office experience
• Experience in financial services, insurance, banking, or accounting
• Familiarity with CRM or client database systems
