What happens when contract volume suddenly doubles?

It's a real pattern. Events return, vendors multiply, and the contracts follow, while a loose, manual process built for far fewer of them starts to creak. The usual response is longer hours and hope, and the pile rarely shrinks that way. The process never scaled, only the workload did.

Routing, tracking, and reminders that handle twice the volume without twice the effort change that equation.

The clause you need is buried in an exhibit, not the contract. Can your CLM actually find it?

Contract search usually means searching the main document only, but key terms often live in exhibits, addenda, or attached schedules that get skipped entirely. The workaround is opening every attachment by hand just to check what's actually in it. When search reaches every attached document, not just the main file, that workaround disappears.

A search that misses half the contract isn't really a search.

Every sales proposal is basically a contract. Almost none of them go through legal.

A sales rep copies an old proposal to save time on a new deal, and with it comes whatever liability language, payment terms, and commitments happened to be in that file, inherited, not reviewed. A proposal doesn't feel like a contract while it's being written, even though a signature makes it one. The exposure usually surfaces all at once, when someone finally compares a dozen deals and finds a dozen different versions of the same clause.

When proposals draft from approved language instead of an old file, that drift stops happening.

One clause on page fourteen was supposed to protect you. Did it actually work?

Vendor performance tends to slip slowly, one missed metric at a time, and SLA terms usually just live in the contract text rather than anywhere someone is actively tracking them. By the time the pattern gets noticed, it's already months old. When SLA terms get tracked against actual vendor performance instead of just filed away, that pattern shows up early.

A contract term only protects you if something is actually watching it.

Legal approved one contract template. Somehow, fourteen other versions still exist.

It's a common setup though. Every team keeps its own "approved" version of the same contract, and nobody can say for certain which one is actually current. When a clause changes for legal reasons, half the saved copies never get updated, and eventually someone signs a contract off an outdated template without anyone catching it in time.

A real template library means one approved version, updated once, used everywhere it's needed.

The best CLM feature might be the one you never actually open.

Most CLM vendors compete on dashboards, screens, and features worth a demo. But most users just want the right contract, at the right moment, without a detour to somewhere new. That requires the contract to show up inside Word, Outlook, or Teams directly, rather than a separate destination someone has to remember to visit.

Most CLM platforms are built to be visited. Fewer are built to disappear into the work.

The clause library that lives where you're already typing.

The old way means searching a shared drive for the last time this clause got used, hoping whoever saved it named the file sensibly. The new way suggests approved clause language directly inside Word, so consistency stops depending on who remembers where the good version lives. Redlines tend to shrink too, since the first draft is already closer to approved language.

Every clause reused correctly is one less thing legal has to re-review from scratch.

Every legal team's December looks the same. It's not the holidays making it hard.

Contracts pile up right as budgets reset and vendors push to close before year-end, and nothing forces that work to spread out evenly across the year. Approval queues are usually what breaks first, since most routing was never built to handle a spike. The instinct is to add people to the queue, but that mostly just moves the bottleneck somewhere else.

What actually helps is a workflow that scales with volume instead of headcount.

Unpopular opinion: your CLM shouldn't replace your SharePoint. It should use it.

Most CLM buying guides start with the same advice, migrate everything to a new platform. That advice is expensive in a way the sales deck doesn't mention. Migration means retraining every team that touches a contract, and adoption usually stalls the moment a tool asks people to leave Microsoft 365 for something new.

The category is consolidating right now. Enterprise CLM platforms are absorbing more AI features at the top, while lighter point tools are pulling simple review work out at the bottom. The mid-market, Microsoft-shop buyer is stuck between both, and largely unserved.

Dock 365 is built inside Word, Teams, Outlook, and SharePoint from day one, not bolted on top.

One missing document can hold up an entire vendor onboarding.

It's a familiar pattern. A single compliance document, like a signed Business Associate Agreement, stalls the whole process. Vendor details get collected by email, then re-entered by hand into a separate system, duplicating the same work twice. Sometimes a vendor gets system access before vetting is even finished, because the compliance step and the access step were never actually connected.

Onboarding breaks down when compliance and data entry live apart from the contract itself.

If you'd like to see how Dock 365 keeps compliance documents and vendor data tied to one record from day one, book a demo and we'll walk you through it.
