When I was a young mom, I remember being pregnant and starting to think about how I was going to manage everyday life with another kiddo in tow. I'd think through where everyone was going to sit in the van so I could have access to the new baby or another sister could pop the pacifier back in if it fell out.

I was always planning for the next thing so I could be well prepared when the new baby arrived.

It's the same with my clients. They are all in the growing stages.

Yes, we work on things that are already established. But in the back of my mind, I'm always planning for how things will work when that new team member gets hired or another program is created.

It's important that as you set up new systems and processes in a business, you aren't just thinking about the here and now. Think ahead to the future. Imagine how things will operate with a few more team members. Then ask if what you've set up is still sustainable. Hopefully you can say, "Yes!" with confidence.

"You do such a good job of really listening to me and asking all the right questions."

This was what I heard in the middle of a client call. When we started working together, she was feeling burned out. She wanted to hire a team, but she also knew she needed to get things in order before she could even consider bringing on team members.

We began by getting on calls, and I just let her talk. She told me everything she does for her clients, and I asked the questions to fill in the gaps. I documented all of her steps, and now she has SOPs in place to hand new team members as part of their onboarding process.

She's excited about the future of her business because while she loves what she does, she's ready to step into more of a CEO role and manage team members who are doing the work. In other words, she's in the process of scaling.

Have you heard of the book, Profit First?

When I first started my business in 2019, I jumped in first with both feet. I had done some research, about a day's worth, but I really had no idea what I was doing.

So when I was about to get paid for my first small project, I actually had to have the client delay the payment so I could run to my bank and open a business account. True story!

I was in such a hurry to open an account that I didn't give much thought to the type of account or anything. I think it was at this point I knew I needed more of a plan.

Because I was still researching this grand idea of starting my own business, I was fortunate enough to run across something that was promoting Profit First. Within a few minutes, Amazon had my order.

The book was so enlightening and by the time I finished reading it, I was convinced that this was the method I wanted to use to handle the money I hoped to make. It gave me a system to save money for a rainy day, pay myself immediately, save for taxes, and set aside operating expenses for my business. I modified it a bit and also opened an account specifically for me to set aside money to donate to missions.

It took some time to return to my bank and open four more accounts, but it's been so worth it because the book taught me how to think about and allocate the money that I earn. Just last month I was able to move quite a chunk of money from the operating expense account into my rainy day account. I'm amazed at how much I've saved over the years.

Even if you are in business because of a passion, at the end of the day, you stay in business because of your ability to make money.

But do you always get paid?

There are businesses which are losing money each day because of rejected payments.

So how do you keep this from happening?

Set a recurring task to check on these payments each month. Once the task is triggered, follow the process you've documented in an SOP.

What is that process, you ask? Well, if you've never done this, record the steps you take as you check on your payments in a copy of my SOP template. Don't worry about the nitty gritty details. You can add those later. For now, just record the basic information.

In that same SOP, outline details of steps to take if you do find a payment that has been rejected.

Having a recurring task and SOP to follow will ensure that you are getting paid on a regular basis. And if something is wrong, you'll be able to fix it right away.

Quick tip: Now would also be a good time to check your payment links to make sure everything is in good working order.
