Renting a trade show booth: what belongs in the fixed price?

Start with what the fixed price covers. Hardware, lighting, graphics, carpet, furniture and audio visual are usually inside the package, while shipping, drayage, rigging, electrical outlets, electrical labour and booth vacuuming often sit outside it. Those line items are where a booth budget quietly grows.

📋 Second, check the show calendar, not just the booth. Exhibits are rented against a deadline, so the graphics approval date, the preview before shipping and the on-site handover time all need to be written down.

🧰 Third, decide who runs the booth on the day. A supervisor for the handover helps, but someone from your team still has to own the meeting schedule.
