IMPORTANT USPS POSTMARK CHANGE
Affecting 2025 Year-End Contributions and Other Timely Mailings
A new USPS postmark rule effective December 24, 2025, states that machine postmarks reflect the date of first automated processing at a regional center, NOT when you drop mail off. This change can DELAY A POSTMARK BY DAYS, potentially making time-sensitive mail (tax-deductible year-end contributions, tax payments, tax returns) late for deadlines despite being mailed on time. To ensure timely mailing get a manual (hand-stamped) postmark at a post office counter, use a Postage Validation Imprint (PVI) label, or use services like certified/registered mail for proof of mailing.
What's Changing?
- OLD WAY: Mail dropped off (blue box, PO) often got a postmark reflecting that day's acceptance.
- NEW WAY (Effective Dec 24, 2025): Machine postmarks are applied at regional processing centers, potentially days after drop-off.
Why It Matters:
- TAX DEDUCTIONS: Year-end donations mailed late in December could get a January postmark (e.g., mailed December 31/postmarked January 5) making them deductible for the next tax year.
- LATE PENALTIES: A delayed postmark (e.g., mailed April 15/postmarked April 16) can trigger penalties or interest.
- LEGAL DEADLINES: Many laws (IRS, state) rely on the postmark date to determine if something was filed on time.
How to Ensure Your Mail is Timely:
- DONATE ONLINE: Donate securely online to ensure immediate receipt of your transaction.
- GO INSIDE: Visit a USPS retail counter in person and ask for a manual (hand-stamped) postmark, purchase a stamp from the counter showing Postage Validation Imprint (PVI) date of purchase/proof of mailing, or use certified/registered mail which provides a dated receipt and is more secure.
- AVOID: Blue collection boxes, self-service kiosks, relying on the postmark from your office postage meter, third-party shippers (UPS, FedEx).
