Most quality consultants design workflows in Word.

I use Figma.

Not because it's trendy — because it works better.

When you design a process in a text document, people read it.

When you design it as a visual workflow, people *use* it.

Figma lets me build interactive, zoomable process maps that a team can navigate in a browser — no special software, no printing, no "I can't open the file" emails.

For document control flows, supplier qualification paths, and audit preparation checklists — the visual format makes the difference between a process that gets followed and one that gets filed.

Tools don't define quality. But the right tool makes quality systems more human.

POV: You're two hours into a certification audit.

The auditor asks to see evidence of management review.

The quality manager opens a folder.

There's one document inside.

It's dated three years ago.

This is the moment where the room goes very quiet.

Major nonconformities don't come from bad intentions — they come from good intentions that ran out of time, bandwidth, and follow-through.

Management review isn't a once-a-year checkbox. It's the mechanism your leadership uses to ask: *Is our system still working? And how do we know?*

If your last management review is collecting dust, this is your sign.

Is Your Quality Policy a Wall Decoration or a Strategy?

Your Quality Policy is supposed to be the foundation of your QMS.

In most organizations, it’s a framed document in the reception area that nobody can recite from memory.

ISO 9001 Clause 5.2 is clear: the quality policy must be communicated, understood, and applied. Not printed and laminated.

Ask yourself these three questions:

✅ Can any employee explain what your quality policy means for their daily work?

✅ Does your policy reflect what your organization actually values — or what sounded good in 2018?

✅ Has leadership referenced the quality policy in the last 90 days — outside of an audit?

If the answer to any of these is no, your policy isn’t driving your system. It’s decorating it.
