ADAPT, a leader in the survey processing business for 39 years is recruiting for a Mailroom Specialist/Office Administrative position - Onsite in Minnetonka. **$500 Sign-on Bonus (see details below).
The Mailroom Specialist/Office Administrative position is required to perform a variety of functions. Tasks include but are not limited to:
Detailed Duties and Responsibilities: Essential Functions
• Prepare incoming mail for mailroom staff by:
1. Sorting the mail by project, which requires familiarity with all projects and their individual mailroom processing requirements
2. Determining the most efficient way to extract surveys based on volume, schedule, and other factors communicated to you by the Data Capture Manager and in line with a daily priority list to meet the client’s daily deadlines
3. There are many different tasks in the mailroom and administrative part of this position. It’s critical that the surveys and other documents are placed in the correct location depending on the job and task being performed.
4. All tasks need to be performed accurately.
5. Accurately counting envelopes per client & project and entering that number and postage amount on the tracking form.
• Accurately update Excel sheets with daily mail counts and survey ID numbers
• Scan barcodes from surveys into Excel while watching closely for colored notifications (red font - old survey needs to be pulled out, purple highlight is a different language, or survey version, etc.)
• Communicate project counts via email to internal/external clients/manager
• Checking in product returns (small sample products that people return) and accurately entering respondent ID into spreadsheet
• Checking in shipments that arrive and relocating them where needed in the building
• Enter data accurately and efficiently into a variety of internal tracking databases
• Assist Data Capture Management team with survey data file creation and delivery to clients
• Assist Data Capture Management team with the creation of project folders/clipboards
• Check in mail projects according to project-specific instructions
• Tub, box, and ship surveys when data capture is complete
• Support the Data Capture team as needed
Detailed Duties and Responsibilities: Non-Essential Functions
• Enter alpha, numeric, or symbolic data from source documents into computer following format displayed on screen and enter necessary codes at a production speed. Speed standards are subjective by department and will vary from project to project.
• Assist with survey scanning as needed
• Assist in warehouse as needed
• Possibly answering phone calls (very minimal - 2 to 3 per day)
• Other related tasks as assigned by management
Environmental Conditions:
• General office conditions with proper lighting and ventilation. This position is an on-site position at 5610 Rowland Road, Suite 160, Minnetonka, MN 55343. This position can’t be done remotely.
Position Status:
• Full Time Non-Exempt
Schedule:
• 8am-4pm, 8:30am-4:30pm, 9am-5pm, 9:30am-5:30pm - Monday - Friday
Experience Requirements:
• Experience assisting a team in a fast-paced, deadline-driven work environment
• Working knowledge and experience with Microsoft Outlook/Email and Excel

Educational Requirements:
• High School Diploma or equivalent
Physical Requirements:
• Must be able to sit & stand for long periods of time. Must be able to operate a computer. Must be able to lift 40 pounds. The Mailroom Specialist/Office Administrative position spends part of their day on their feet and the other part sitting down, either processing postal mail or working on a computer. We are looking for a high energy person to perform the mailroom process.
