Update the driver emergency contact regularly. Drivers have changes in their lives. You don't want to find this out in the middle of an emergency situation. You do not want to make a bad situation worse

Tip of the Day: Filing

"Where are the truck files???"

You open the file drawer and everything is in manila folders. Where do the truck files end and the driver files begin?

Save yourself a lot of time and headache. Use a different color file folder for each thing. Blue for driver files, green for truck files, red for trailers. Color code whatever way works for you.

Tip of the Day: Permit Book

Include a copy of your ELD download instructions for easy access. Drivers cannot remember everything, and the DOT agent will appreciate it being available. It will also help avoid an inspection violation.

Tip of the Day: Equipment Files

Don't put it off, Don't wait - Start the file as soon as you tell the sales person you are buying the truck or trailer. Then you have a place to put all the documents as they come in.

Being in compliance is a process. Have a process for Equipment Files and you won't have problems.

IFTA renewal is coming soon. Make copies of IFTA stickers. Put the copy in the unit's file and write down date you issue/put it on the truck.

Tip of the Day: Driver Qualification Files

Uniformity is key for these files. Have a checklist of all the items needed in the file, and put each file in the same order.

If everything is in the same place in every file, Auditors stop looking quickly.

Tip of the day: Equipment Files

Make sure you have an Equipment Data Sheet in the file. The sheet should include year, make, model, color, tire size and all other crucial information about the unit. DOT does check for an Equipment Data Sheet during audits and not having it counts heavily against you.

For small fleets, put a copy of every trailer registration in the permit book. This will keep you having a missing or unreadable registration inspection issue.

Tip of the Day: IFTA Renewal

IFTA Renewal is coming November 1st!

IFTA stickers are cheap, only $3.00 each. Buy 1 to 5 extra at renewal to have on hand for new trucks. This will prevent you from having to wait for a sticker to be able to put a new piece of equipment in service.

Tip of the day: Driver Qualification Files

Make 2 copies of the drivers license and medical card. It is always good to have a the extra copy for emergencies and not have to worry about remembering to put it back in the file during a stressful situation.
