Business Commentary | Hospitality Protocol | Real-Life Scenario
We recently came across a situation that happens more often than folks admit in the hospitality industry — especially in high-energy environments like lounges, bars, or restaurants with open tabs, music, dancing, and friend groups mingling.
A group of patrons enjoyed their time, paid a tab, but unknowingly walked out without covering another one. Now, to some, this looks like dine-and-dash. But to a trained eye? It's often a misunderstanding — not malicious intent.
So what’s the move without putting folks on blast via surveillance footage? Here's how we advise our clients (especially Black-owned businesses) to handle it:
🧾 Step 1: Investigate Internally
Start with the server or bartender. Get the full picture: Who was seated where? Were multiple tabs open? Did anyone mention splitting the bill? What was paid for vs. what wasn’t?
📋 Step 2: Review Receipts
Match receipts to tables. If a tab was left open, check for names on cards used or any reservations connected to the group.
🔍 Step 3: Locate, Don’t Accuse
Use what you’ve got. Look up names via social media, LinkedIn, or Google — privately. If your system uses loyalty programs or reservation info, even better. Quietly piece things together.
✉️ Step 4: Reach Out Professionally
Once you’ve ID’d the guest, message them with grace. Something like:
"Hey [Name], we hope you had a great time at [Restaurant Name] on [Date]. It looks like part of your group’s tab may have been left open by mistake. We totally understand how that can happen in lively spaces! We’d love to help get it squared away—just reach out when you can. Thank you!
No drama. No public embarrassment. Just professionalism and respect.
📌 Remember: When folks feel respected, they’re more likely to make it right.
💡 Pro Tip from WeAreGLFrnds: Treat every situation like a learning opportunity, not a loss. The goal is resolution—not retaliation.
