Case Acceptance Benchmarks

Treatment accepted means care can actually be delivered.

Many practices focus on production goals, but case acceptance often reveals what’s happening beneath the surface.

Healthy benchmarks include:

✔ Overall Acceptance: 65%-85%

✔ Large Case Acceptance: Over 50%

✔ Financial Presentation Rate: 100%

✔ Follow-Up Completion: Over 80%

When acceptance declines, the issue is not always fees.

More often, it’s communication, clarity, follow-up, or patient confidence.

One of the most important lessons I’ve learned throughout my career:

Patients rarely say no to treatment. They often say no to confusion.

Clear communication. Consistent systems. Strong follow-up.

That’s where acceptance grows.

When hygiene is performing well, it supports patient retention, perio identification, preventive care, treatment discovery, and long-term practice growth.

A few hygiene benchmarks worth reviewing:

Hygiene Production %: 25%–35%
Fluoride Acceptance: Over 70%
Perio Percentage: 30%–40%
Recall Retention: Over 85%

When these numbers start drifting, the pressure can show up across the entire practice.

One of the biggest opportunities for practice growth may already be sitting inside your practice management software.

It’s called unscheduled treatment.

Patients don’t always decline care because they don’t want it. Life gets busy. Questions go unanswered. Financial concerns arise. Sometimes they simply need another conversation.

The practices that consistently grow aren’t always diagnosing more treatment.

They’re creating systems that help patients move forward with the care they’ve already accepted in principle.

A few benchmarks I encourage practices to monitor:

✔ Unscheduled treatment balance
✔ Treatment acceptance rate
✔ Follow-up consistency
✔ Recall recovery

When these systems work together, patients receive the care they need, teams become more consistent, and practices experience healthier, more predictable growth.
