Volunteers keep ghosting you when you need help the most? READ THIS!

You're probably not doing anything wrong...
You just haven't told them what they're supposed to be doing.

- Write it down. Hours, schedule, who they talk to...Everything.
Some people show up ready to work and have no idea what that means. So they leave.

-Ask them WHY they want to volunteer before you stick them somewhere. Do they want to be where the action is? Maybe they'd rather do setup. You won't know... unless you ask.

- Get your supervisors to answer questions instead of having everyone track you down during an event.

Seriously.

If you're the only one with answers, you're working the whole time and your volunteers are frustrated waiting to find you.

- Long shifts kill people. Four hours of work? Different energy than eight.

- They need energy! Feed them, and make sure they have coffee available!

- Let them have a quiet spot if they need five minutes away from it all.

- After it's done, actually ask them what was confusing. What kept coming up.

Then you know what to teach people next time.
Volunteer Strategy isn't hard, you just gotta set them up right.

Want to know the secret to good grant writing?

Brigid Vance, an experienced grant writer, shared in one of our Training Sessions with Lee Domaszowec.

And it's simpler than most people expect.
Read the instructions. Follow them.

Yup, that's it. That's the secret.

That instructions document exists for a reason. When you ignore it, even a strong proposal loses ground before anyone reads a word.

The organizations that win grants consistently aren't always the ones with the biggest budgets or the flashiest programs. But they sure are the ones who took the RFP seriously and answered exactly what was asked.

Start there and see what changes.

A nonprofit almost missed a $5,000 DONOR!

Because... nobody on the team knew he existed.

This is the type of thing a weath screening can easily flag for you, and that's exactly what happened here.

One of our clients was running a fundraising campaign when we screened their donor file, and this married couple was flagged.

Why? Because... of their SON!

Their son was an investor with significant assets, but he had never donated to the organization before.

The parents reached out and asked if he would support the campaign.

He gave $5,000.

That one donation covered more than the cost of the screening itself.

Your donor database is full of connections people overlook:

- family members,
- business owners,
- investors,
- long-time supporters with far greater giving capacity than anyone realizes.

Sometimes the opportunity is already sitting in your database.
You just need to know where to look.

If you want help reviewing your donor file, send us a message!

READ THIS before you sign anything.
A vibe-coded website could destroy everything your nonprofit has built.

That cool-looking website you just bought from that "coder"?
Read that contract before you pay.

No, we mean it.
The disclaimers, the indemnification clause, the limitations of liability... Every word. Because they made sure that language was in there.

And that's why they're safe, and you're not.

A vibe-coded website isn't built by an accessibility auditor.
Nobody reviewed it against WCAG standards or signed their name to it.

If the code was written by an amateur using AI, with no true understanding of security, legal compliance, or any accountability for what happens when something goes wrong.

But you're the one holding donor payment data, confidential client records, volunteer personal information, home addresses, the trust of a community... All of it.

The dude who vibe-coded your website won't pay for the breach of that trust. But you will.

Before you sign any website contract, ask one question: who is the named human responsible for the security of this website?

If they can't answer that, walk away.

Was your website vibe-coded? Send us a message if you're not sure what you're looking at.

Ready for the best tip you'll ever get?

Here it goes: Only read your emails once.

Before you roll your eyes and scroll along, just hear us out.

Think about all the emails you get every day, every week, every month, all year long... How much time will you end up wasting on re-reading them?

Probably a lot, right?

You can use that time to grow your business, pursue your mission, or even develop your team and yourself.

Whenever you get an email, as soon as you open it, try yo read it only once. Whatever you do, take one of those four actions:

- Respond
- Delete
- Archive
- Delegate

But never read that email twice. Anything that you do with that saved time will be better than wasting it on reading it again.

Save this tip and start managing your time better!

It ends in exhaustion.

That's the part of nonprofit leadership no one says out loud.

After 15 years of running a STEM nonprofit for kids of color in Chicago, this leader quit. He posted on LinkedIn. Leaving... Handing it to someone else.

So... what happened?

He was tired.
Exhausted. Needed to make money. To support his family.

15 years of showing up, every day, for the kids this work was built around.
And 15 years of carrying the weight of it...Alone.

You can't tell your team what's keeping you up at night.
You can't tell your partner all of it. The friends outside this world don't understand, and the ones inside it are too deep in their own version to help.

So you figure it out on your own, keep moving... keep showing up.
Until one day, you don't.

That organization is still there. Someone else is leading it.
By almost every measure, that's a good outcome.

But we can't stop thinking about it.

How many of those hard moments did he carry alone, with no one in his corner who'd already been through it?

Stories like this one are very real and remind us of why we built SPARK.

A community built by nonprofit leaders, for nonprofit leaders. People who know exactly what this weight feels like.

So that when those moments hit, you don't have to figure it out alone.

If you're feeling all alone and struggling through your leadership, join our SPARK Community.

We can help you work through your hurdle.

You're missing out on a LOT if you don't do this ONE thing.

We had a donor who had previously given $25 dollar donations.
And we were grateful for every dollar.

But when we ran our file through our Wealth Screening system, we discovered something incredible... And we never would've guessed it!

Turns out that same person was running a family Foundation. They had different names, so we never really connected the two of them.

We were kind of surprised, but decided to reach out to them, individually.

And guess what that individual reaching out accomplished?
A $20,000 gift through their Foundation.

Yup, you read that right.

Wealth screening tells you who's ready for a bigger ask, who belongs in your major gifts pipeline, and how to reach out in a way that actually lands.

There's probably money sitting in your donor file right now.
You just don't know whose it is yet.

Comment "WEALTH" below and we'll help you find it.

It's the #1 mistake we still see people make... Treating LLMs like a search engine.

When you use Claude or ChatGPT the same way you'd use Google, you're treating a fundamentally different tool like a search engine.

And you're leaving almost everything on the table.

Google indexes what already exists.
LLMs generate, reason, synthesize, and build.

The moment you start typing one-question prompts and moving on, you've already cut yourself off from the most powerful parts of these tools.

Our PhoenixFire team, for example, gets the most use out of AI every single day.

How?
By using specialist systems.

Each topic has its own project, and we train that system on EXACTLY what it needs to know, with advanced prompts and constant updates.

For example, we have a project solely dedicated to grant writing. And another one for social media writing only. And a fact checker is checking both.

But to truly get the most out of AI, you have to go beyond work.

- Add voice-to-text while you drive.
- Turn a 10-minute conversation into institutional knowledge your whole team can use.
- Go from 100 hours of grant research to 3 minutes.

That's how you start saving hours and even weeks of your time.

Share this with someone on your team who still treats AI like a search engine.

$68 billion cut to $32 billion...
All of this in the first 90 days of 2025.

That's what happened to U.S. foreign aid in the first 90 days of 2025.

And with that, 14,000 U.S. nonprofits were identified as being at risk of running out of money within that window.

We know a lot of you are feeling this directly.

Some of you have already lost funding. And maybe some are watching grants you counted on get frozen or cancelled.

The honest takeaway is that no single source of funding is ever guaranteed. Government grants, foundation grants, corporate sponsors... All of it can change in a budget cycle.

What can change is HOW MANY sources you have and how well you've built relationships with each of them.

That alone can help ensure your organization's survival through the toughest of times.

If you're working through this right now, drop a comment or send us a message. We're here to help!

If you could fix ONE thing about your organization's Newsletters, what would that be?

A nonprofit newsletter usually tries to do six things at once.
You got your board update, program highlight, event invite, volunteer spotlight, donor thanks, and soft donate ask.

All in one email.
And the open rates might look fine, but the action rates you get from those newsletters are basically zero...

That's because you're doing too much all at once.

Try to focus on only one thing:
- One story
- One stat
- One soft CTA (reply or forward, NEVER DONATE)

That's it.

You tell a meaningful story with an important outcome, a clear before-and-after effect, or an impactful statistic, and you make the reader want to be part of the story.

The CTA is rarely "donate." Try "reply with a question." Try "forward to someone who'd care." Replies and forwards are leading indicators of giving.

This way, the newsletter becomes the warm-up that makes the campaign work.
