How I Helped a Cleaning Business Owner Stop Working 12-Hour Days and Take a 10-Day Maldives Vacation
A lot of business owners think a “new website” is just about looking professional.
When I sat down with Jose from All Inclusive Care, we aimed for something much bigger:
👉 Operational Freedom
The Challenge: The “Technician’s Trap”
When Jose and I first started working together, he was an Owner-Operator in the truest sense. Even though he had a team, he was still the bottleneck:
• He was on-site for every complex job
• He was the only one who knew the “secret sauce” for high-end clients
• If he wasn’t there, the quality dropped
He was a prisoner to his own success.
He wanted to grow, but he couldn’t see how to do it without working 12–20 hour days.
The Strategy: Building a “Digital Nervous System”
As his digital partner, I didn’t just give him a “Contact Us” page.
We built a systemized engine that the whole team could run without him.
Here’s what we implemented:
1. The Video Training Vault
I set up a restricted Team Portal on his site.
I told Jose: “Next time you’re on a job, just record it on your phone.”
He recorded 15 short videos.
My team took those raw videos, edited them, added subtitles, and hosted them in a private training area for his staff.
Now, new and existing team members can learn “Jose’s way” on demand.
2. Job Management Integration
We integrated his website with a robust Job Management System.
Now, when a lead comes in through the site, it doesn’t just sit in an inbox.
It automatically triggers a workflow that his VA can handle without Jose’s input.
No more chasing emails. No more missed opportunities.
3. The Automated Reporting Loop
We built a system where staff can upload Before & After photos and site reports directly from their mobile devices.
This means Jose can “verify” a job from his couch (or a beach) in 5 minutes…
instead of driving 2 hours to a site just to check the work.
The Result: The “Maldives Test”
Last year, Jose put our systems to the ultimate test.
He went to the Maldives for 10 days.
Old Jose:
Would have spent the whole trip on the phone, stressed, putting out fires.
Systemized Jose:
• Spent only 30 minutes a day on “urgent” items
• His team followed the video systems we organized
• Jobs got done
• Clients were happy
• He came back to a pile of invoices ready to be sent
The “Aha!” Moment
Recently, Jose had a complex job that required specific technical steps.
Normally, he would have gone himself.
Instead, he sent a staff member who had never done that task before.
They watched the training videos we hosted, followed the checklist, and completed the job perfectly.
Jose never had to leave his home office.
The Bottom Line
I don’t just build websites.
I build business freedom.
By turning Jose’s brain into a digital asset, he now has 4 vans on the road and is planning a 30-day trip to Europe, confident that his business will actually grow while he’s gone.
Is Your Business “Owner-Dependent”?
If you can’t leave your business for a week without it falling apart, you don’t have a business — you have a job.
This month, I’m looking for one more service-based business owner to help systemize and scale.
