FRIDAY FIX — Here’s a 15-minute office security check that may uncover more than you expect: make a list of every shared login your business uses.

Think about:

✅ Accounting software
✅ Social media accounts
✅ Vendor portals
✅ Administrative accounts
✅ Office Wi-Fi

For each login, ask:

• Who currently has access?
• Is MFA enabled?
• When was the password last changed?
• Does a former employee or vendor still know it?

Use individual accounts whenever the system allows it. When a credential truly must be shared, keep it in a secure password manager with controlled access—not in an email, spreadsheet or sticky note.

Important: inventory the accounts, but don’t write the actual passwords on your list.

SPOT THE PHISH — THE VOICE EDITION 📞

AI voice cloning can turn a few seconds of recorded audio into a convincing phone call. Before anyone moves money:

✅ End the call
✅ Call the person back using a trusted number
✅ Require approval from a second employee
✅ Use a private verification word or phrase

Urgency + secrecy + money = stop and verify.

FRIDAY FIX 🛠️Check whether your out-of-office reply is sharing too much information.

The classic example:

“I’m traveling until September 8 with no email access. For urgent wires or invoices, contact our bookkeeper Sandra at…”

Now read that like a scammer:

• The decision-maker is unavailable
• The employee handling money is identified
• Her direct email address is provided
• The scammer knows how long the opportunity lasts

That innocent auto-reply just became a fraud starter kit.

A safer external message:

“I’m out of the office with limited availability and will return September 8. I’ll respond as soon as possible after my return.”

No employee names. No job roles. No travel details. No payment instructions.

If your email system allows it, create separate replies for internal and external senders. Coworkers can receive coverage details; strangers don’t need them.

Thirty seconds to fix. One less advantage for a fraudster.

A little perspective: when PC Network Solutions started fixing South Florida business technology in 2003, “the cloud” meant weather, phones flipped, and a strong password was your dog’s name with a 1 after it.

Hot take: “We’re in the cloud, so we’re covered” is not a security plan.

Microsoft 365 gives businesses powerful tools, but your subscription alone does not guarantee the backup, recovery, MFA, and security configuration your company needs. Retention is helpful—but it should not be mistaken for a tested backup strategy.

The better formula:

FRIDAY FIX — take five minutes and check your email settings for Rules and Forwarding.

When attackers gain access to a business inbox, they may create hidden rules that quietly forward emails about invoices, banking, passwords, or account changes. Your inbox can appear completely normal while someone else receives copies of sensitive messages for months.

See something you don’t recognize? Change your password, enable MFA, sign out of all active sessions, and contact your IT provider.

Check yours and reply: “Clean” or “…we need to talk.” 😄
