Most business owners don't think about their finances until tax season arrives. đź“…

Then suddenly, it's a race to find receipts, organize records, track expenses, and gather everything needed before deadlines.

Sound familiar?

The businesses that experience the least stress during tax season aren't necessarily the biggest or most successful. They're the ones that consistently keep their financial records organized throughout the year.

The good news? It's never too late to get your finances back on track.

In our latest podcast conversation, we discuss what we're seeing this tax season, why many businesses choose to file extensions, and how proper bookkeeping can help business owners make smarter decisions all year long.

We're also excited to share that we currently have capacity to welcome new clients, both for-profit and nonprofit organizations.

If you've been putting off organizing your books, this may be the sign you've been waiting for.

🎙️ Tune in to the podcast to learn more.

đź’¬ What's your biggest challenge during tax season: staying organized, finding time, or understanding your numbers?

“Systems don’t have to be perfect to get started.”

Not every business begins with clean books, organized processes, or a fully built system and that’s okay. Many companies spend years trying to “catch up,” often feeling like they’re working out of a shoebox.

With the right support, cleanup, and structure, businesses can get their records organized, work through backlogs, and build a repeatable system that supports long-term growth.

It’s never too late to reset, rebuild, and create something sustainable.

"Garbage in, garbage out."

AI can be a powerful tool, but when it comes to accounting and financial reporting, accuracy must come first. If incorrect information is entered into the system, the resulting reports, insights, and decisions can be just as inaccurate.

In this podcast clip, Roxanne Albin, MBA, owner of Applied Financial Services, Inc., shares an important reminder: technology should support sound financial practices, not replace them. The quality of your financial data matters, because every business decision depends on it.

Watch the clip and hear why maintaining accurate financial records is essential, whether you're using AI or traditional accounting methods. đź’Ľ

Understanding your financials doesn’t have to feel overwhelming.

Many business owners are focused on growing the business, managing operations, and serving clients, which often leaves little time to fully understand the numbers behind it all. That’s why monthly financial reviews are so valuable.

At Applied Financial Services, we sit down with our clients, often through monthly Zoom meetings with our senior accountant or accounting team, to review their full financials together. This includes going through the Profit & Loss statement, balance sheet, and discussing what the numbers are actually telling us.

These conversations help everyone stay aligned, ask questions in real time, and gain clarity on the financial health of the business. Most reviews take about an hour, sometimes longer during year-end periods, but the goal is always the same: helping clients better understand their business finances and make informed decisions with confidence.

Financial management is not just about reports, it’s about understanding the story behind the numbers and having the right team to guide you through it.

Financial clarity doesn’t come from waiting until month-end, it comes from consistent, structured conversations.

That’s why we generally review financials with clients on a monthly basis, especially for larger firms. Some smaller businesses may choose quarterly reviews, but monthly check-ins allow us to stay aligned, spot patterns early, and address questions before they become issues.

Each review is supported by a prepared list of open items and guided questions, ensuring nothing is overlooked and every detail is properly explained. It also creates space for collaboration, so both sides are looking at the same numbers, at the same time, with full context.

This approach isn’t just about reporting results. It’s about creating understanding, improving visibility, and making sure decisions are based on clarity, not assumptions.

We believe strong financial management is built on communication, consistency, and proactive review, because when you stay aligned, you stay in control.

Protecting your business isn’t about assumptions, it’s about structure.

Just because things appear to be running smoothly doesn’t always mean everything is secure behind the scenes. In financial operations, risk often comes from one key issue: too much control in one set of hands.

When a single person is responsible for handling transactions, deposits, collecting statements, and reconciling accounts, there’s limited visibility from different angles. And that’s where blind spots can quietly form.

Strong financial systems are built on separation of duties so no one individual has full control over every step. This isn’t about distrust, it’s about protection, accountability, and clarity.

At Applied Financial Services, Inc., we help businesses establish the right checks and balances so financial activity stays transparent, organized, and secure.

Because healthy businesses don’t just grow, they protect what they’ve worked hard to build.

We are now accepting new clients. Send us a message today to see how we can help you through a free consultation using this link: https://appliedfinancial.co/get-in-touch/

AI doesn’t always tell you the truth, it often tells you what you want to hear. 🤖

From financials to business insights, many AI systems are designed to feel helpful and reassuring, sometimes at the expense of accuracy.

Before you fully trust the answer, make sure you double-check the data, because real decisions need real clarity, not just confirmation.

đźš© Business Red Flags: Signs of Internal Problems Revealed

One of the biggest red flags in a business? When too much control is placed in the hands of just one person.

Now, that doesn’t automatically mean something bad is happening. Many trusted employees are amazing at what they do. But from a financial and operational standpoint, having one person manage everything without oversight can create serious risks.

We often see issues arise when:
• One employee controls all finances with little review
• There’s no separation of duties
• The owner is too removed from day-to-day financial activity
• Reports and transactions aren’t being regularly checked

Most internal fraud or embezzlement cases don’t start with something small like an electric bill. If someone is willing to cross that line, it’s usually much bigger and often builds over time.

Unfortunately, some people may feel “owed” more, become frustrated, or simply take advantage of weak systems.

As a business owner, protecting your company isn’t about distrust, it’s about having proper checks and balances in place.

Strong systems protect both your business and your team. đź’Ľ
