Three signs a task is ready to hand to a tool.

1. You can explain every step to a new hire in five minutes.
2. The same inputs produce the same result, every time.

A nonprofit dashboard full of green and red tells you something changed. It does not tell you why, or what to do on Monday.

Tools without a strategy are just expenses with a login. They fill the inbox with suggestions nobody asked for and make everyone a little busier.

The fix is simple to say and harder to do: start with the decision you need to make better, then choose the tool. Never the other way around.
