Every lawyer knows that documents can make or break a case. But without a clear File Management SOP, even the best legal team risks missed deadlines, misplaced files, and compliance issues.

A File Management SOP should include the following:

1️⃣ Centralized Storage – secure, cloud-based, and accessible from anywhere.
Choose one system (ex. MyCase, Google Drive, or a secure shared drive) and make it the only entry point for all case files.

2️⃣ Clear Folder Hierarchy
Organize by Client → Matter → Document Type → Date. No guessing. No duplicates.

3️⃣ Clear Naming Conventions – so no one wastes time guessing file titles.

Here's an example of a simple intake script to use:

1. Initial Contact (The Qualifier) “Thanks for contacting our firm. So I can best assist you, can you tell me a little about your legal matter?” (Listen and then qualify based on your firm’s criteria).

2. Consultation (Setting Expectations) “After reviewing your matter, it sounds like we may be able to assist. Our next step is to schedule a [type of consultation]. During this meeting, we will discuss the details of your case and provide an overview of our legal strategy and fee structure. Does this sound like a good next step?”

3. Post-Consultation (The Follow-Up) “Thanks for meeting with us today. I have sent over our fee agreement for your review. Please don’t hesitate to reach out with any questions. We look forward to working with you.”
