I made the decision to build Business Flow Group knowing it would mean starting over.

After years running fractional ops as a solopreneur, I had to ask myself whether I was building a business or just buying myself a job with better hours.

The honest answer was: the second one.

So I went back to the beginning and built something different, something intentional.

A model with team, with systems, with work that could move (eventually) without me doing the client work, and instead running the business.

What I know now that I didn’t know at the yoga studio, or even in my first years of consulting, is that your presence in the business isn’t proof of value. It’s often the thing slowing it down.

The five flows I use with clients: CEO, Client Delivery, Sales, Marketing, and Team, are built around one question:

where does this business still need you in it, and where doesn’t it?

Introducing my Brain Dump to Brief Method.

Make sure you hit SAVE and don’t forget to follow for more 😉

Step 1: Dump it
You don’t even have to do this manually. I use Rize.io it tracks your time automatically in the background and integrates directly into Claude.

Or upload your time report and you can see exactly where your hours are going.

Step 2 : Sort it
Highlight anything you want to keep. Everything else is delegatable.

Step 3: Pick one
I recommend starting with the task that takes the most time, or that you’re always procrastinating but has the highest leverage or impact.

Step 4: Record yourself doing it
Use Loom or a Scribe while you do the task to record your process. It’ll document the steps for you automatically.

Step 5: Write three sentences
What does this task accomplish? When does it need to happen? What does “done” look like?

That’s your first SOP. Three sentences and a video or Scribe.

There was a moment where I was sitting in my car after a 14-hour day when I realized something had to change in my business.

I had built something I was proud of.
But I had also built something I was trapped in.

I felt like I was stealing time from everything I loved, time to spend with my family, energy to workout, and feeling in complete survival mode. Like, I didn’t even like this business that I used to love so much.

That’s when I stopped asking “how do I do more?”
And started asking “how do I build this differently?” Because the way I was building it, wasn’t working anymore.

It took two full years, a lot of patience and intentional design to rebuild the way I worked.

But on the other side of that?

I got my weekends back, I also was able to have a scalable business that didn’t require more from me the more clients we brought on.

That experience is the reason I became a Fractional COO.
It’s the reason I built Business Flow Group .
And it’s the same reason I’m doing this talk on June 9th.

Because I don’t want business founders to spend 10+ years, sleepless nights, and missed baseball games or recitals learning what I had to learn the hard way.

One of my clients was manually sending a welcome message to each person who reached out.

Instagram. Text. WhatsApp. Website inquiry.
Each one, typed out by hand.

We set up a simple automated response that goes out the moment someone makes contact. Lets them know a real person will be in touch. Gets the ball rolling without her having to drop everything.

Now she can pick up the phone and call them.
The automation just handles the in-between so she doesn’t have to.

When the key stages of the pipeline have a trigger built in, conversations move forward.

She’s still the one with the relationship.
She’s still the one closing.
She’s just not the one manually managing the handoffs in between.

That’s what a back end built for how she works looks like.

That’s normal.
But it doesn’t have to stay that way.
