Job Title: Front Desk/Receptionist
FLSA Status: Non-Exempt
Employment Type: 1.0 FTE
Pay Range: $18.00 - $20.00 per hour
Job Summary
The Front Desk/Receptionist is the first point of contact for tenants, property owners, vendors, and guests. This role is responsible for a variety of clerical and administrative tasks, including managing company keys, overseeing social media, and providing exceptional customer service. The ideal candidate must be a highly organized multi-tasker with strong attention to detail and the ability to thrive in a fast-paced environment.
Essential Duties & Responsibilities
Front Desk & Customer Service
• Greet and assist tenants, property owners, vendors, and visitors in a professional and friendly manner.
• Answer, screen, and direct incoming calls and emails promptly and accurately.
• Provide basic property management information and assist with inquiries regarding leasing, maintenance, and policies.
• Maintain a professional and welcoming front office environment.
Administrative & Clerical Support
• Perform lower-level clerical duties such as data entry, filing, and document preparation.
• Assist with processing rental applications, lease agreements, and other property-related paperwork.
• Coordinate mail distribution, incoming deliveries, and outgoing correspondence.
• Maintain organized electronic and paper records for office and property management files.
Key Management
• Track and manage all property keys, ensuring secure distribution and return for tenants, vendors, and staff.
• Maintain an accurate key log and update records in the property management system.
• Work with property managers to ensure key policies are enforced and security measures are followed.
Social Media & Marketing
• Manage the company’s social media presence, including creating, scheduling, and monitoring posts on platforms such as Facebook, Instagram, and LinkedIn.
• Develop engaging content to promote available properties, company updates, and industry news.
• Respond to social media messages and comments in a timely and professional manner.
• Track social media analytics and suggest strategies to improve engagement.
Scheduling & Coordination
• Assist in scheduling property showings, inspections, and maintenance appointments.
• Maintain calendars for property managers and coordinate meetings as needed.
• Ensure vendors and contractors have access to properties when scheduled.
Qualifications & Requirements
Education & Experience
• Possess and maintain a valid drivers license and have the ability to be insured.
• Minimum of one year of experience in an administrative, front desk, or customer service role.
• Experience in property management or real estate is a plus.
• Experience with social media management for business purposes preferred.
Key Skills & Competencies
• Exceptional customer service and communication skills.
• Strong attention to detail and ability to multi-task in a fast-paced environment.
• Proficiency in Microsoft Office (Word, Excel, Outlook) and property management software (e.g., AppFolio, Yardi) preferred.
• Strong organizational skills with the ability to maintain accurate records.
• Ability to create engaging content and manage social media professionally.
• High level of professionalism and discretion when handling sensitive information.
Physical & Work Environment Requirements
• Ability to sit at a desk for extended periods while working on a computer.
• Occasional lifting of office supplies, files, and keys (up to 25 lbs).
• Work is performed in an office environment with frequent interaction with staff, tenants, and vendors.
Employment Terms
• Schedule: Full-time (40 hours per week), Monday–Friday, with occasional evening or weekend responsibilities for social media updates or special events.
