WONDERING WEDNESDAY: WHAT DOES ONE MONTH OF SECURITY OPERATIONS LOOK LIKE?

During August, our internal reporting system recorded more than 3,800 activity entries, including:

✓ 1,218 foot patrol entries
✓ 506 vehicle patrol entries
✓ 350 fire-watch logs
✓ 195 documented observations
✓ 151 pool checks
✓ 41 calls for service
✓ 1 critical incident
✓ 5 supervisor responses

Our Echo911 computer-aided dispatch system separately recorded 829 incidents during the reporting period, with an average dispatch time of 12 minutes.

Why don’t the totals match?

Echo911 generally creates one incident for the overall job, call, or duty assignment. At certain sites, one incident may remain open for an entire 8–12-hour shift.

During that assignment, an officer may complete foot patrols every 45–60 minutes, perform property checks, document observations, investigate suspicious activity, and complete other duties. In Echo911, these activities may be entered as comments or log entries attached to the original incident instead of creating separate incident numbers.

Our internal system currently records each of those activities separately. The two systems measure different parts of the same operation.

During this reporting period, only approximately one-third of our officers had been issued Echo911-connected radios. Once our incoming order arrives, all officers will be issued radios and incorporated into Echo911.

Future public summaries will primarily feature company-wide Echo911 statistics. Detailed foot-patrol counts, property checks, and other site-specific activities will remain within our internal and client reporting.

Public graphics have been edited to protect client information, addresses, officer identities, staffing levels, unit totals, and other sensitive operational information.

📊 Transparency matters to us.

Before we begin publishing our monthly Strategic Stats, we want clients and community members to understand exactly what our numbers represent.

Our computer-aided dispatch system categorizes each CAD log as an “incident,” but one CAD log may represent an entire security shift, a scheduled patrol, a call for service, or another documented activity.

While safely parked, our officers can enter patrol notes, observations, photos, and call updates directly from the field.

Every patrol visit, call for service, security detail, and special assignment receives its own unique CAD number. This allows authorized property managers to review their property’s activity history and open individual records for additional details.

Depending on the activity, a record may show:

✓ When the call or assignment was created
✓ When an officer was dispatched
✓ When the officer was en route
✓ GPS-verified arrival information
✓ Notes and observations from the field
✓ Photos and supporting documentation
✓ When and how the call was resolved

If a gate was damaged, a light was out, a pool was cleared, a suspicious vehicle was observed, or an officer responded to a resident concern, management has a documented record to review.

Effective patrol is about visibility, attention, and documentation.

Depending on the property’s needs and service agreement, a patrol visit may include:

✓ Marked-unit visibility
✓ Gates and access-point checks
✓ Pool, clubhouse, and amenity checks
✓ Exterior lighting observations
✓ Foot patrols of designated areas
✓ Vacant-unit or vacation-watch checks
✓ Resident or tenant contacts

If an officer discovers a damaged gate, lighting issue, suspicious vehicle, open door, unauthorized person, or another concern, that information can be documented and made available for management to review.

Each patrol visit receives its own unique CAD number, creating a reviewable record of when the officer arrived, what was checked, what was observed, and how any concerns were handled.

FRIDAY SECURITY ROUTINE

Before you lock the office and leave for the weekend—does your security team know what changed this week?

A gate stopped working. A camera went offline. A resident reported suspicious activity. The pool needs to close at 9:00 PM. A vacant unit requires additional attention.

These may seem like routine concerns, but if they are not communicated before the weekend, they can easily be overlooked.

Before leaving Friday, take a few minutes to review:

✓ Gates and access points
✓ Cameras and exterior lighting
✓ Pool, clubhouse, and amenity closures
✓ Vacant units and vacation watches
✓ Resident or tenant concerns
✓ Special events, contractors, or expected visitors
✓ Areas requiring additional patrol visibility
✓ Authorized callers and approved service hours

Strategic clients can submit extra patrol requests, schedule recurring or one-time calls, communicate special instructions, and review completed activity through their property management portal.

Need the pool checked and closed at 9:00 PM every night? We can schedule it.

Need additional attention in a particular area? Submit an extra patrol request.

Need randomized property checks so visits are less predictable? We can schedule those too.

A five-minute security review today could prevent an overlooked concern from becoming Monday morning’s incident report.

Please note: Available services, response hours, authorized callers, and dispatch procedures are determined by each client’s service agreement. Some clients may require management approval before security responds. Dispatched calls may also count toward contracted patrol visits when applicable and when time permits.
