This week on Systems for Sanity, Heidi Venture talks about founding a licensed psilocybin service center in Oregon and what it actually takes to keep one running.

She gets into building inside a heavily regulated industry, marketing a service you are not allowed to advertise the normal way, and how much of the operation runs on technology for client intake and records. She also talks about what this work has meant for veterans living with PTSD.

πŸ”§ For an HVAC company, a broken truck is a bad morning. A dispatch system that goes down at seven in the morning in August is a lost day.

The schedule is the business. If it is unavailable, nobody knows where to go and every call gets written on paper somebody has to re key later.

Worth testing before peak season. What happens to dispatch if the office internet drops, whether the tablets in the trucks are locked and encrypted, and whether a departing tech's access to the customer list really goes away the same day.

πŸ—οΈ The buyer does not know your wiring instructions are supposed to arrive a certain way. That is the whole attack.

Wire fraud at closing almost never involves breaking into a title company. It involves a compromised mailbox somewhere in the transaction and revised instructions sent at exactly the right moment.

What helps: multi-factor on every mailbox, instructions through a portal instead of email, alerting when a new mailbox rule appears, and telling every buyer on day one that you will never email updated instructions.

πŸ“‹ Your cyber insurance renewal form is basically a free security checklist, and most business owners fill it out without realizing that.

Multi factor authentication on email and remote access. Real endpoint protection. Backups that are tested and out of reach of ransomware. A written plan for a bad day. Fast patching.

One thing worth being careful about. Answering yes to something you have not actually set up can be the reason a claim gets denied later. If you are unsure about any line on that form, that is the list to work through.

🍽️ The worst time to find out your card reader shares a network with the guest Wi-Fi is 7pm on a Friday.

Three things that actually cost a restaurant money: the register and guest Wi-Fi on one network, no backup internet when card processing drops, and cameras nobody can pull a clip from when a chargeback lands.

Separation, redundancy, retention. Boring words, busy Friday saved. 🍴

🏦 A branch that cannot reach the core is a lobby full of people you cannot serve.

Three questions worth answering before an examiner asks them. Does each branch have a second path to the core, and has anyone actually tested it? Do the teller, vault and ATM cameras keep footage long enough to be useful? And which outside vendors can reach your network, with a log to prove it?

Under GLBA the institution owns those answers, not the vendor. πŸ’™

πŸ”‘ Quick question. If someone on your team left tomorrow, could you list every account they had a password for?

Most small businesses cannot, because the passwords live in a spreadsheet, a notes app and a few heads. That is not carelessness. It is what happens when you add tools one at a time over ten years.

A password manager makes every login long and unique, makes sharing a credential something other than a text message, and gives you one list to work from the day someone hands in their keys.

The most important computer in your shop is the one you are not allowed to update.

Every manufacturer has at least one: a controller or test rig running software the vendor certified years ago. Patch it and you void support or stop the line.

You do not fix that by updating it. You fix it by making it unreachable. Its own isolated segment, only the traffic it actually needs, and vendor access that gets opened when they call and closed when they are done.

When an agent leaves, whose contact list is it?

Most brokerages work that out during the exit, which is the worst possible time to work anything out. Client relationships belong to the agent. Transaction records and compliance files belong to the brokerage. In practice it is all tangled together in a personal phone and a personal cloud drive.

Settle it while everyone is happy: where brokerage records live, what offboarding removes, and what an agent may take.
