RSM's Middle Market AI Survey 2025: data quality was the number one challenge in using generative AI. Not cost. Not talent. Not technology. Data quality.

RSM's analysis of manufacturing specifically is even more direct: "Manufacturers eager to deploy AI-driven solutions often discover that their data infrastructure is inadequate. Conversations about implementing AI often circle back to the need for clean, harmonized and accessible data."

Every AI conversation circles back to data. Every time. Predictive maintenance requires accurate sensor data flowing to the right models. Supply chain optimization requires inventory counts that match across systems. Customer engagement requires records that agree on who ordered what, when, and for how much.

The AI is ready. The data feeding it usually isn't.

Visa Commercial Solutions reported that among low-performing firms that adopted AI for working capital management, cash flow unpredictability dropped from 68% to 17%.

That's not incremental improvement. That's a structural shift. And it happened because centralized, governed data made AI actually useful.

The prerequisite wasn't better AI. It was cleaner data flows between the systems that feed financial decisions. When CRM, ERP, and finance tools agree on deal values, contract terms, and payment timelines, forecasting becomes prediction instead of guesswork.

PYMNTS also found that 83.3% of CFOs are planning to use at least one AI tool for cash flow improvements. The CFOs who'll see results are the ones who fix the data handoffs first.

LevelBlue's CIO told CIO Magazine something that most transformation projects learn the hard way: "You have to check the assumptions in processes before you kick off a transformation if you want to allow for greater innovation."

Her IT team found that most business workflows span "at least a dozen different systems" and that "the number of assumptions baked into workflows were dependencies on technologies two generations back."

Two generations back. That means your current workflow was designed around constraints that no longer exist, running on assumptions nobody has questioned, across systems nobody fully understands.

The highest-ROI transformation work isn't automating the existing process. It's mapping the existing process, finding the assumptions that no longer apply, and rebuilding the handoffs before adding technology.

Friday at 3 PM. One last meeting before the weekend. Real decisions get made. Real commitments happen. "I'll have that ready Monday." "Let me send the proposal over the weekend." "I'll update the client first thing next week."

Then everyone logs off. Saturday happens. Sunday happens. Monday morning arrives and every single task from that Friday call has evaporated.

Not because people lied. Because 48 hours passed without a system holding anyone accountable.

Friday afternoon meetings are where ex*****on goes to disappear. Not because the decisions were bad. Because the gap between Friday's commitment and Monday's memory is too wide for any human brain to bridge without a system catching it.

What percentage of Friday afternoon commitments actually survive to Monday morning at your company?

It takes 23 minutes and 15 seconds to fully refocus after a single interruption. (UC Irvine) The average knowledge worker gets interrupted every 12 minutes. You do the math. You're never fully focused. Ever. Every meeting that produces tasks you have to manually enter into three different systems is an interruption that cascades through your entire afternoon. The fastest way to protect deep work time is to eliminate the post-meeting admin entirely. Process the recording, review the tasks, route them to the right board. Then get back to the work that actually requires your brain.

How many times did you refocus today, and how many times did you actually get there?

CSO Insights found companies with a formally defined sales process see 18% more revenue growth than those without one. "Formally defined" means one answer, documented, followed by everyone.

Here's a test: ask your VP of Marketing, your SDR manager, your AE team lead, and your ops person to define "qualified lead." If you get four different answers, you have four processes wearing one CRM's clothing.

The handoffs are where it shows. Marketing passes an MQL that sales says isn't qualified. Sales accepts a lead that ops can't route because the required fields aren't filled. A deal moves stages based on criteria that differ depending on which rep is working it.

The process on paper looks clean. The process in practice has four authors and no editor.

White & Case flagged something most teams don't consider: when employees know every word is being recorded and transcribed, they stop speaking honestly. People sanitize their remarks. They avoid raising problems. They delay escalating issues. The legal term is "chilling effect." The practical term is: your meetings just got less useful. The best discussions happen when people feel safe to say "this is broken" or "I disagree." If your recording tool is making people self-censor, you're trading meeting output for meeting silence.

Has your team's candor changed since AI recording tools became standard?

Workers spend almost 4 hours per week reorienting themselves after switching between applications. Over a year, that's roughly 5 full working weeks lost entirely to the overhead of navigating between digital tools. (Speakwise, 2026) This isn't time spent working. This isn't time in meetings. This is time spent figuring out where you were, what tab you need, and what you were doing before the last interruption. Post-meeting task creation is one of the worst offenders. You close Zoom, open your transcript, open Notion, copy the task, paste it, assign it, open Slack, tell the team. That's 6 app switches for one task.

How many app switches does it take your team to create one task after a meeting?

52% of workers multitask during virtual meetings with two or more participants. (Calendly) That means half the people on your call are answering Slack messages, checking email, or updating a spreadsheet while you're talking. And the tasks that come out of that meeting? They heard maybe 60% of them. This is why verbal task assignment fails. People aren't fully present, so they miss commitments. They agree to things they didn't fully hear. Then nobody tracks it and everyone's surprised when nothing happened.

How many people on your last call were actually paying full attention?

Only 37% of workplace meetings actively use an agenda. (Flowtrace) Which means 63% of meetings start without a clear plan for what should be accomplished. No agenda means no clear outcomes. No clear outcomes means no clear tasks. No clear tasks means the meeting produced nothing trackable. Free hack: if you can't write 3 bullet points describing what the meeting should produce, cancel the meeting and send a Slack message instead. An agenda takes 2 minutes to write and saves 30 minutes of circular discussion.

Does your team require agendas, or are most meetings still "let's just hop on a call"?
