๐ Virtual Executive Assistant (Remote โ Philippines, PST Schedule)
Support for a California-Based Executive & Busy Mom
About the Role
Weโre looking for a highly organized and tech-savvy Virtual Executive Assistant to help manage both professional and personal operations for a California-based finance professional and busy mom of three.
This role requires someone reliable, proactive, and detail-oriented โ capable of handling everything from calendar coordination and travel planning to Excel tracking, light bookkeeping, email organization, and presentation support.
Youโll work behind the scenes to keep projects, schedules, and communication running smoothly across work and home life.
The Virtual Executive Assistant must uphold strict confidentiality at all times. All records including but not business documents, personal communications, family information, and passwords are private and not to be shared with any third party without written authorization.
- Handle all documents, messages, and access credentials with discretion.
- Store sensitive data only in approved shared drives (Google Drive / OneDrive).
- Refrain from downloading or printing private files unless instructed.
- Report any accidental data exposure or unusual access immediately.
- Maintain professionalism in all written and verbal communications.
Key Responsibilities
๐ Calendar, Scheduling & Coordination
- Manage and synchronize multiple calendars (work, personal, kids, travel).
- Schedule meetings, appointments, and reminders across time zones.
- Prepare daily or weekly task summaries in Asana or Google Sheets.
๐ง Email & Digital Organization
- Manage and organize Gmail inboxes โ flag priorities, archive clutter, and ensure timely follow-up.
- Maintain and streamline Google Drive and OneDrive folders for work, home, and projects.
- Create organized digital filing systems for documents, receipts, reports, and presentations.
๐ Excel & Bookkeeping
- Maintain Excel spreadsheets for budgets, expenses, and reports.
- Handle light bookkeeping โ receipts, reimbursements, tracking expenses.
- Support reconciliation and coordination with accounting tools (QuickBooks, Bill.com, or similar).
๐ผ Project & Presentation Support
- Prepare clean, professional PowerPoint or Google Slides decks.
- Assist with research, formatting, and report writing.
- Track project timelines and deliverables using Asana or related tools.
๐ Travel & Logistics
- Research and book flights, hotels, transportation, and family activities.
- Prepare travel itineraries and confirm details before travel dates.
๐จ Content & Research
- Conduct online research for vendors, products, business projects, or travel.
- Support content creation and outreach on Pinterest and LinkedIn (posting, captions, light edits).
- Create or edit visuals using Canva or PowerPoint.
Qualifications
- 2+ years of experience as a Virtual Assistant, Executive Assistant, or Admin Coordinator.
- Excellent English communication (spoken and written).
Proficient in:
- Microsoft Office (Excel, PowerPoint, Word)
- Google Workspace (Sheets, Slides, Docs, Calendar, Drive)
Asana, Canva, Pinterest, LinkedIn
- Strong Excel skills โ formulas, formatting, data entry, summaries.
- Excellent organizational skills โ able to create and maintain digital systems.
- Reliable, professional, trustworthy, self-motivated, and resourceful.
Able to work on California time (8 AMโ5 PM PST / 12 AMโ9 AM PH).
Compensation & Benefits
- Full Time Starting Salary: P20,000-P25,000/month (based on experience)
- Part-Time starting @ $3-$7/hour
Full Time Employee Receives:
