Why do we make callers do homework?

Making customers guess which department they need is ruining relationships. Lon breaks down why we need to eliminate friction the second the phone rings as we deep dive in our latest conversation about the customer experience.

There’s a practical side of AI in schools that doesn’t get nearly as much attention.

It’s the work happening around the school day.

The attendance calls that all come in at once. The questions new parents call the office to ask again and again. What bus is my child on? What time is pickup? Can I pick up someone else’s child?

And then there are the messages that need to get to teachers or staff that need to make sense and also need to not get stuck in a forgotten inbox.

AI can help with some of this everyday work. It can answer routine questions, collect information, route requests, and turn a voicemail no one listens to into a clear message someone can actually use.

Just a little less work for the people already doing so much.

We recently updated our Back To School write up to explore this and more practical strategies for making school communication a little less chaotic and a lot easier to lift.

We’ve all been on hold listening to a recording tell us our call is "very important." 🙄

Next week we’re releasing a full 1-hour deep dive on business communication, customer friction, and why most phone menus feel like an obstacle course. Teaser clip below! ⬇️

Whew. You and your staff made it through the first weeks of school. 😅

By now, you've probably got a pretty good idea of where your communication is working. And where it could use a little fine-tuning.

Maybe it's the attendance line that never stops ringing. Maybe your admin office team is answering the same questions over and over. Maybe you have new voicemails you haven't even had time to check yet.

As things start to settle in and the rubs are still obvious, now is a good time to take a breath, take some notes, and ask: How can we make this easier?

The good news is that you don't have to turn that fix into a months-long project. Some changes can be made in a matter of hours.

We updated our Back to School write up with practical strategies for schools looking to make communication a little simpler from here on out.

“Press 1 for sales. Press 2 for support. Press 3 for billing.” That's an internal org chart , not a customer experience.

You finally call a business because you couldn't find the answer. And then the business makes you keep working for it.

Listen to a recording that goes on and on, try to pick the right department, wait for the transfer to see if you're right...

Customers don't think, “I need to speak with the billing department.”

They think, “There's a charge on my account I don't understand.”

Nearly 70% of customers say they've had a bad experience with a business's phone system. And 70% say a terrible experience would make them take their business somewhere else.

If customers already know what they need, why are we making them figure out how the business is organized just to ask for help?

We’ve been talking about what’s next for VirtualPBX, and somehow the conversation kept coming back to voicemail.

Because, honestly, nobody likes voicemail.

So we started thinking about what it would look like to handle those calls differently.

Here’s a quick look at that conversation.

Voicemail is dying.

Slowly. But it’s dying.

The problem is, most businesses still don’t have a better way to handle a missed call.

Someone leaves a voicemail. Then someone else has to listen to it, figure out what they need, pull out the important details, and call them back if something is missing.

Then we got voicemail transcripts.

Great! Fixed!

Except when the name is wrong. Or the time comes through as “50 clock PM.” Or some other important detail gets mangled enough that you still have to go listen to the recording.

So we thought: why are we still doing this?

So we built a fix.

AI MessageDesk has a conversation with the caller, asks for the information that matters, takes notes, and sends the message to the right person.

No beep. No guessing what information to leave. No digging through a three-minute voicemail to find the one thing you actually needed.

It seems pretty obvious now.

We should have been doing it this way all along.

Most automated phone systems are listening for keywords.

That's why the interaction tanks fast when callers don't say exactly what the system expects.

AI FrontDesk works differently. Instead of following a script, it understands natural conversation to get callers what they need.

Here's a real call. Hear the difference for yourself.
