Needing support isn't a sign you're behind.
Asking a question isn't a sign you don't know what you're doing.
Bringing in help isn't giving up control.

The people who go furthest usually aren't doing it all alone — they just know when to let someone else carry part of the load.

Asking for help is a strength, not a shortcut.

Your marketing agency is bringing in $200K…but did you actually *earn* $200K?

Agency bookkeeping gets messy fast when:
• Client ad spend gets recorded as your agency’s revenue
• Retainers are recognized incorrectly or applied to the wrong client/project
• Purchases made on behalf of clients aren’t treated properly as pass-through expenses
• Freelancer and contractor payments aren’t tracked correctly for 1099s
• Client deposits get mixed into revenue before they actually belong there

The result? A P&L that can make your agency look way more profitable—or just plain different—than it really is.

You don’t just need to know how much money moved through your agency. You need to know how much your agency actually made.

If your P&L has you saying, **“Wait…I made HOW much?”** we should talk.

"Basically know" and "actually know" are very different numbers 😂
No judgment here. Let's just get you caught up before the end of Q4.

Most QuickBooks files aren't wrong because someone was careless.

They're wrong because the business grew, added a revenue stream, switched software, or opened a new bank account, and the file never caught up.

QuickBooks doesn't flag that kind of drift on its own. It just keeps running.

That's exactly what a File Review is built to catch. It's not a guess and check exercise. It's a structured look at whether your file reflects how your business actually operates today, not how it operated when it was first set up.

QuickBooks can be working exactly as designed…and still not be working correctly for your business.

A connected bank feed, reconciled accounts, and a nice-looking P&L don’t automatically mean the setup underneath it all is right.

Your QuickBooks file should reflect how your business actually operates—and give you reports you can confidently use to make decisions.

If you’re constantly questioning the numbers, working around your reports, or wondering whether everything is connected correctly, it may be time for a second set of eyes.

A File Review can help you figure out what’s really happening under the hood—and what needs to change.

You don't need a full audit to get a sense of where you stand. Start here:

1. Your P&L can't tell you which product, service, or project is actually making money.

2. Money like owner draws, reimbursements, or financing payments lands wherever QuickBooks defaults it, not where it belongs.

3. Your sales channel (Shopify, Square, a marketplace) and your books don't quite agree.

4. You've caught yourself double checking numbers in a spreadsheet instead of just trusting the report.

None of these mean you did something wrong. They usually mean the business grew and the QuickBooks file never caught up.

You know what your team costs. But do you know which projects are actually earning that cost back?

That’s where better time tracking becomes a profitability tool—not just a payroll tool.

QuickBooks Time Elite can help you connect labor, mileage, estimates, and actual time back to individual projects so you can see where your team’s hours are really going.

Because “everyone is busy” and “this project is profitable” are two very different things.

Want to see if Time Elite makes sense for your business? Reach out, we're here to help you!

Bank feed connected. Transactions flowing in. Reports generate when you click the button.

That's not the same thing as being set up right.

QuickBooks doesn't warn you when something's wrong. It will reconcile an account, categorize a transaction, and hand you a clean looking P&L, even if none of it actually reflects how your business really works.

The software isn't the problem. What's underneath it is.

Most owners find this out the hard way, usually when a lender asks a question the reports can't answer, or a new bookkeeper opens the file and goes quiet for a beat too long.

We break down exactly what to check in this month's blog. Read the blog: https://bit.ly/quickbooks-setup
