Sales brings the work and revenue into the company.

Bookkeeping shows what happened to the money after the sale—job costs, gross profit, overhead, cash flow and what's actually left.

And right in the middle is what we're all working toward:
PROFIT.

A great roofing bookkeeper isn't separate from the sales side of the business.

You need to understand how the company makes money so you can help the owner see whether they're actually keeping it.

That's why I teach roofing bookkeepers to go beyond entering transactions in QuickBooks.

Your Roofing Numbers Are Wrong When These Systems Don’t Connect

A roofing company can have a great CRM and QuickBooks Online—and still have numbers that don't tell the whole story.

The key is understanding how the information moves between the two systems.

In Video #6 of my 7-part CRM & QuickBooks series, I continue showing how the CRM and QBO work together and why the bookkeeper needs to understand what is happening on both sides.

As a roofing bookkeeper, your job isn't simply entering transactions into QuickBooks.

You need to understand the roofing company's workflow so you can recognize when something is missing, duplicated, recorded incorrectly—or simply hasn't made it from one system to the other yet.

That's how you move from data entry to decision-making and become a much more valuable part of the roofing company's team.

**Are all of your roofing expenses actually connected to the jobs they belong to?**

If they're not, you may be looking at job profitability that isn't accurate.

In this week's video, I go inside the workflow and show how I use **purchase orders and expenses to connect costs to the correct roofing jobs.**

This matters because it's not enough to know:

**“We spent $20,000 on materials.”**

The roofing owner needs to know:

**Which jobs did we spend it on — and what did those jobs actually make?**

I also talk about vendor credits, because when materials are returned or credited, those credits need to make their way back to the correct job too.

Otherwise, your numbers aren't telling the whole story.

This is where bookkeeping moves beyond simply entering transactions.

**We're connecting the accounting to what actually happened on the job so the owner can make better decisions.**

Not every roofing contractor wants—or needs—the same kind of company.

One owner may want employees, salespeople, multiple crews and high volume.

Another may want a smaller operation with fewer jobs, lower overhead and more freedom.

Neither one is necessarily wrong.

But your pricing, marketing, systems, employees and financial decisions need to match the business you're trying to build.

They're not.

A purchase order helps you:

✅ Know what materials were ordered for each job.
✅ Track job costs before the invoice arrives.
✅ Reduce mistakes and duplicate purchases.
✅ Keep your project organized from start to finish.
✅ Understand whether a job is actually making money.

Whether you're using a CRM like JobNimbus or QuickBooks Projects, purchase orders are one of the simplest ways to improve job costing and gain better financial visibility.

When your bookkeeping is organized, it's much easier to answer the question every contractor should be asking:

"Did this job actually make a profit?"
