Seeking a Project Manager for Water Damage Repair Work

RESPONSIBILITIES
• Field estimating – going to job sites, taking notes and pictures; talking with customers about their project. Need someone comfortable with direct customer interface.
• Xactimate estimating – coming back to the office and typing up the Xactimate estimate in our Xactimate software tool. This could be as much as 30-40% of the persons time depending on the week.
• Customer communications – Calling customers to schedule projects; emailing project status updates; kicking-off new projects and emailing instructions to homeowners walking them through how to select materials, etc.
• Insurance adjuster communications: This happens every month but not every week; volume varies. Insurance companies question our estimate and want us to explain them. We need someone we can train to articulate our position on the estimates via email or by phone. We can train with respect to technical knowledge.
• Scheduling: Communicate the schedule to the team, and enter the schedule in our software tools. Schedule and setup access with the homeowner or the building - ensure they are expecting us.
• Ordering materials: Research product/material; work with and also follow-up with vendors.
• Working with subcontractors: Send jobs to subcontractors; find and vet new subcontractors; schedule jobs with them; hold them accountable
• Job budgeting: After a job is approved we need to come up with a budget for it, so we can make sure we are running the job profitably.
• Paperwork/documentation: Enter new jobs into our system; ensure billing and payments are taken care of.
• Project planning: At the front end of a job, it needs to be planned out.
WHAT WE ARE LOOKING FOR
Computer Skills – There is a fair amount of emailing, and note taking. There is an insurance estimating software that someone will need to learn to draw maps, navigate, enter data into. Several other software tools that we use so we need someone who can be good on the computer.
Customer Service – Excellent communication, and the ability to handle concerns with care.
Construction/ Water Mitigation Knowledge - If you don't have the knowledge, we certainly need someone who is INTERESTED in learning, and has the APTITUTE to learn.
Mental horsepower / Problem solving: Construction is constant problem solving - The schedule, the project plan, prioritization for the day. So, we need someone who can juggle details; when we ask a question about a project, they will know the answer.
Leadership/Culture Fit - We want someone who can grow with the company. Construction is a relatively low tolerance business. That means if we are making mistakes all the time, it will catch up with us; we have to have accountability and discipline on the team. However……… we also tend to be a very gracious, patient, and collaborative culture. What this means is that we need someone who can have this balance. Who can understand the need to hold subcontractors and employees accountable…. But who also is willing to let some things go and pick their battles - not get frustrated that our people are not perfect.
Relationship building: It is a team sport - building strong ties with our subcontractors and vendors.
We have a simple process for a lot of this. We work as a close team so there is a lot of support, and not all of these things happen every day. We might bill 20-30 jobs in a month, we might estimate 2x that.
Our Home office is located in Mountlake Terrace; close to the I-5 and 1-405, which gives you access to both west and east sides of the lake.
