📄 What happens after a claim is submitted?

For many providers, claim submission feels like the finish line.

In reality, it's often the starting line.

Once a claim reaches the payer, it may move through several stages:

✓ Claim receipt

✓ Eligibility verification

✓ Clinical review (if applicable)

✓ Processing and adjudication

✓ Payment or determination

Along the way, additional reviews, documentation requests, or system edits can impact the timeline.

That's why checking claim status is so important.

A claim that's pending needs a different strategy than a claim that's denied.

And a claim that's never processed at all is a completely different problem.

Understanding where a claim sits in the process helps teams respond appropriately and avoid unnecessary delays.

Because successful reimbursement isn't just about submitting claims.

It's about knowing what happens next.

"We submitted everything exactly as requested.

The claim denied.

We appealed.

The appeal denied.

When we called the payer, we were told the patient's plan didn't cover the service.

The same service that had been approved the year before."

The office spent weeks going back and forth.

The patient was frustrated.

The team was frustrated.

Everyone assumed the denial was final.

Then a deeper review uncovered the real issue.

The problem wasn't coverage.

The problem wasn't medical necessity.

The problem wasn't even the authorization.

It was an enrollment issue preventing the claim from processing correctly.

Once corrected, the claim moved forward.

The lesson?

Not every denial is actually a denial.

Sometimes the reason listed on the EOB is simply the symptom—not the root cause.

Before writing off a claim, before assuming insurance gave a final answer, it may be worth digging one layer deeper.

Because behind every claim is a patient waiting for treatment.

Sometimes it's measured in days.

Days of interrupted sleep.

Days of fatigue.

When we talk about delays in Dental Sleep Medicine, it's easy to focus on the administrative side:

🎓 Continuing education doesn't end after graduation.

In Dental Sleep Medicine, some of the most important lessons happen long after dental school.

Not because school failed us.

But because DSM is constantly evolving.

New research.

New treatment approaches.

New workflows.

New technologies.

New opportunities to improve patient outcomes.

The providers who build the strongest DSM programs aren't necessarily the ones who know the most today.

They're the ones who never stop learning.

They're curious.

They ask questions.

They challenge assumptions.

They invest in their growth so they can better serve their patients.

That's one of the reasons we love the DSM community.

There is always something new to learn.

Always a better way to help patients.

Always another level to reach.

Because expertise isn't a destination.

It's a practice.

🤝 The best referral relationships rarely start with a referral.

They start with trust.

One of the biggest misconceptions in Dental Sleep Medicine is that referral growth comes from dropping off lunch, leaving brochures, and hoping for the best.

In reality, strong referral partnerships are built through consistency.

Some of the most successful DSM providers we work with focus on:

✓ Clear communication

✓ Timely patient updates

✓ Reliable follow-through

✓ Educational conversations

✓ Making the referring provider look good

Referring providers want to know:

Will my patient be taken care of?

Will I receive updates?

Will this process be easy?

When you consistently answer "yes" to those questions, referrals tend to follow.

The strongest DSM programs don't chase referrals.

They earn them.
