As a former teacher, this is one of my favorite times of the year! ๐Ÿ‘ฉโ€๐Ÿซ๐ŸŽ’๐Ÿ“š๐Ÿ““โœ‚๏ธโœ๏ธ๐Ÿ–

I absolutely LOVE brand-new school supplies, unmarked workbooks, and pristine paper! I get a strange sense of joy when I see a perfect set of crayons or colored pencils! Calendars, notebooks, and organizers still thrill me! ๐Ÿ’

And knowing that fall is just around the corner (I've already seen some leaves starting to turn!) makes me love the Back-to-School season even more!!! ๐Ÿ‚

My kids, on the other hand, have mixed feelings about it. ๐Ÿ˜‚

One is NOT thrilled to go back to "just sitting there for 6.5 hours every day!" ๐Ÿ™„

Another is very much looking forward to seeing his friends again! ๐Ÿฅฐ

And the youngest is the most excited of all of them, because she loves ALL things school-related! ๐Ÿ˜

So, in honor of those heading back to school soon, I would like to know, USING ONLY EMOJIS!, how is your family feeling about it?

Here are some ideas (feel free to use your own, though, if you want!):

Ever get a sunburn SO BAD that you never EVER want to forget your sunscreen again? โ˜€๏ธ๐Ÿงด๐Ÿฅต

A bad tax season in your business can feel like a *really* bad sunburnโ€”once it happens, you NEVER want to go through it again!

So, if youโ€™re looking for some โ€œsunscreenโ€ to help keep you from getting โ€œburnedโ€ next tax season, here are a few preventive tips:

๐Ÿ‘› ๐——๐—ข๐—กโ€™๐—ง ๐— ๐—œ๐—ซ ๐—•๐—จ๐—ฆ๐—œ๐—ก๐—˜๐—ฆ๐—ฆ ๐—”๐—ก๐—— ๐—ฃ๐—˜๐—ฅ๐—ฆ๐—ข๐—ก๐—”๐—Ÿ ๐—™๐—œ๐—ก๐—”๐—ก๐—–๐—˜๐—ฆ

Keeping your business and personal finances separate makes it much easier to understand how your business is actually performing. It also keeps your books cleaner and makes things much easier if you ever apply for a loan, work with a CPA, or get audited.

โœ…

It's amazing how quickly one month of procrastination can turn into six months of catch-up. ๐Ÿ˜ณ

Try blocking off one day each month just for bookkeeping. If you stay on top of it, it usually doesn't take very long!

Plus, your financial reports will actually be useful when making business decisions (like whether you can afford that new piece of equipment or hire another employee).

At a certain point, spreadsheets just aren't enough. The biggest issues I see are missed transactions, duplicate entries, data-entry mistakes, and the amount of time it takes to enter everything manually.

A good accounting program (like QuickBooks or another option that fits your business) can automatically import transactions, generate reports, store receipts, and save you a LOT of time.

There are plenty of apps that can make bookkeeping easier, including:

โ€ข Mileage tracking
Receipt capture (just snap a picture with your phone!)
Digital document storage

Little time-savers like these can really add up over the course of a year.

A few simple automations can save you hours over the course of a year:

โ€ข Automatic transfers for taxes and savings
Bank feeds that import transactions into your accounting software
Recurring bill payments for regular expenses

If you enjoy bookkeeping and can stay on top of it every monthโ€”awesome!

But if it's something you dread and keep putting off (which is what led to the "tax sunburn" in the first place ๐Ÿฅต), it might be worth asking for help before it snowballs into a much bigger project.

A little help throughout the year is far less stressful than a massive catch-up project at tax time.

Whether you tackle it yourself or hire someone to help, summer is the perfect time to get organized while tax season is still a long way off.

I hope some of that "sunblock advice" helps! ๐Ÿฅฐ

Want to switch to a different financial softwareโ€ฆ but arenโ€™t sure which one to pick?

Or maybe youโ€™re still using Excel spreadsheets and are thinking itโ€™s time to upgrade to something like QuickBooks or Xero?

Good news, Friend-- you stopped your scroll on the right post! ๐Ÿ˜‰

Here are 5 questions to help you choose the best accounting software for your business:

(๐Ÿญ) ๐—”๐—ฟ๐—ฒ ๐˜†๐—ผ๐˜‚ ๐—ผ๐—ป ๐—ฎ ๐˜๐—ถ๐—ด๐—ต๐˜ ๐—ฏ๐˜‚๐—ฑ๐—ด๐—ฒ๐˜?
If youโ€™re just starting out, there are still some affordable (and even free) options:

๐Ÿ’ฐ Wave Accounting is a solid free option for basic bookkeeping needs (with optional paid add-ons like payments and payroll).
๐Ÿ’ฐ FreshBooks is often used by service-based businesses and has entry-level plans that start at a low monthly cost (pricing can vary based on promos and features).
๐Ÿ’ฐ Xero also offers tiered pricing, so you can start simple and scale up as you grow.

If your business might grow into more than just a side-hustle, with employees, multiple revenue streams, or more complexity, choose software that can grow with you. Look for things like:

๐Ÿ“ˆ Payroll options
๐Ÿ“ˆ Advanced reporting
๐Ÿ“ˆ Multi-user access
๐Ÿ“ˆ Strong app integrations

For example, simpler platforms like Wave or entry-level FreshBooks work well for freelancers, while QuickBooks or Xero are often better long-term scaling tools.

If youโ€™re service-based (consulting, coaching, etc.), most platforms will work well. If youโ€™re product-based, pay close attention to inventory features:

๐Ÿ› ๏ธ Xero includes basic inventory tracking tools that work well for many small product businesses.
๐Ÿ› ๏ธ QuickBooks Online also offers inventory features depending on the plan.

If inventory is a big part of your business, this question matters a lot.

Do you use Shopify, PayPal, Stripe, Square, or other tools? Make sure your accounting software integrates well with what you already use.

๐Ÿ“ฑ QuickBooks Online is known for having a very large ecosystem of third-party integrations.
๐Ÿ“ฑ Xero also connects with many apps, especially through Stripe, PayPal, and other common payment processors.

The goal here is simple: less manual data entry.

Higher transaction volume usually means more need for:

๐Ÿงพ Automation
๐Ÿงพ Bank feeds that stay clean and connected
๐Ÿงพ Strong reconciliation tools
๐Ÿงพ Predictable pricing based on usage tiers

Most modern accounting platforms use subscription pricing, and payment processing fees (like credit card or ACH fees) depend more on the payment processor you choose (Stripe, PayPal, etc.) than the accounting software itself.

๐Ÿ‘‰ Once youโ€™ve thought through these 5 questions, it becomes much easier to narrow down the right fit for your business.

If you want to see side-by-side comparisons, just do a search for "Accounting software comparisons" and you'll find many helpful blogs that will break down the pros and cons of each program.

Did anyone get caught driving in that hailstorm last week? ๐Ÿ˜ฌ

When visibility is limited, even a routine drive can become stressful! It's hard to feel confident about where you're going when you can't clearly see the road ahead.

And the same is true when it comes to your business finances.

If you want to see the financial road to your business goals...
.. you're going to need to clear your "financial windshield" with good bookkeeping. ๐Ÿš™

For example, letโ€™s say that:

โ›ˆ๏ธ You havenโ€™t reconciled your bank and credit card accounts in months.

โ„๏ธ You havenโ€™t checked your A/R aging report inโ€ฆ. well, a while.

And sometimes (OK, a lot of the time) you put business expenses on your personal card, and vice versa.

From a bookkeeping perspective, those are all things that โ€œfog upโ€ your financial windshield:

๐Ÿค” You canโ€™t run accurate financial reportsโ€“ not even to check if you made a profit.

๐Ÿ˜ง You may have outstanding unpaid invoices from your clientsโ€“ and ultimately lose the payments you deserve.

๐Ÿ˜ฌ And not only does comingling your accounts cause time-consuming difficulties and confusion, itโ€™s dangerous from a tax perspective... and just a big fat financial no-no.

However, when you have up-to-date and accurate bookkeeping (that nice, clear financial windshield) you can:

โ˜€๏ธ See exactly where your business is at, and if itโ€™s heading in a good direction.

Plan a route to where you want to go in the future, because you know exactly where you are right now.

And, with a clear sunny view through your financial windshield, the journey will be much easier and less stressful. ๐Ÿ˜Ž

After all, it's a lot easier to reach your destination when you can clearly see the road ahead. ๐Ÿš—๐Ÿž๏ธ

May is one of my favorite months of the year. ๐Ÿ“…๐Ÿฅฐ

Itโ€™s that time of year when everyone just gives a huge sigh of relief!

Taxes are finally done (or at least extended ๐Ÿ˜…), spring has arrived, school is almost out, and cabin season is back. ๐Ÿฅณ

My husbandโ€™s grandpa built a cabin โ€œUp Northโ€ in the 1970s, and ever since then, weekends at โ€œThe Cabinโ€ have been a family tradition. We all love going thereโ€ฆ especially when we can spend time fishing, relaxing, playing games, and just being together. But getting ready for it is a lot of work.

There are clothes to pack (after checking the weather, of course!), meals to prep, fishing and swimming gear to load, kayaks to strap down, and somehow about a million things to double check before we leave. Itโ€™s exhausting before we even pull out of the driveway.

But then thereโ€™s this one glorious moment when I finally get to take a huge sigh of reliefโ€ฆ

It's when we turn onto the highway and are finally northbound.

In that moment, everything is done. The bags are packed. The checklist is complete. The gas tank is full. Everyone is loaded up. And I can finally stop carrying all the mental weight of preparation.

I can physically feel myself relax.

And that feeling of peace and relief is exactly what I want my bookkeeping clients to experience most.

Thatโ€™s actually one of the reasons I chose the name Northbound Bookkeeping.

I want my clients to feel confident that everything is taken care ofโ€” transactions categorized, accounts reconciled, books ready for tax seasonโ€” so they can stop worrying about QuickBooks after a long day and focus on the parts of their business (and life) they actually enjoy.

Because everyone deserves that moment when the stress melts away, the checklist is complete, and they can finally take a deep breath knowing everything is handled. ๐Ÿฅฐ

Weโ€™re officially a couple weeks past the April 15th tax deadline. ๐Ÿฅณ
Soโ€ฆ be honestโ€”how did it go this year?? ๐Ÿ™‚ ๐Ÿ˜ซ ๐Ÿ˜ฑ ๐Ÿ˜ฌ ๐Ÿค”

๐Ÿฅณ Were you done and filed way ahead of time?
๐Ÿ˜ซ Or... did it sneak up on you again, and turn into a last-minute scramble the week (or days!) before? ๐Ÿ˜ฌ
๐Ÿซฃ Or did you have to file an extension because you weren't quite ready in time?

No judgment hereโ€”I promise! ๐Ÿ™ƒ

But hereโ€™s something to think aboutโ€ฆ

Small business owners spend 20+ hours per week on bookkeeping, paperwork, and taxes.
That can easily turn into hundreds of hours a year just trying to stay organized! ๐Ÿ˜ฑ

Thatโ€™s a LOT of timeโ€”especially during an already busy season, when everything tends to pile up at once. ๐Ÿ˜ฌ

Itโ€™s easy to say, โ€œNext year will be differentโ€ฆโ€
โ€ฆbut if weโ€™re being honest, that doesnโ€™t usually happen on its own. ๐Ÿ˜‰

So imagine going into next tax season with:
โฐ Accurate and up-to-date records (no matter how busy your day-to-day gets!)
No scrambling or guessing when tax time rolls around
And all those hours back in your schedule

Because when your numbers are consistently taken care of, tax season becomes just another taskโ€”not a stressful event.

Post-Tax-Season Advice from Accountants:

I asked a group of accountants, CPAs, and tax preparers one simple question:
โ€œWhatโ€™s one thing business owners can do now to make next yearโ€™s tax season easier?โ€

Hereโ€™s what they saidโ€”see if any of these sound familiar! ๐Ÿ˜‰

๐Ÿ‘‰ Use the right categoriesโ€”and use them consistently.
Set up your expense categories based on your tax return (including any โ€œOtherโ€ categories you typically need), and stick to them throughout the year. If you break things into subcategories, make sure they still roll up clearly. This keeps your Profit & Loss accurate and saves a ton of cleanup later.

๐Ÿ‘‰ Track things as you go (not later).
This includes mileage, shared expenses like your phone or internet, and anything else that requires estimates or percentages. Trying to recreate this a year later usually means guessingโ€”and thatโ€™s not ideal.

๐Ÿ‘‰ Keep your books current.
Staying on top of your bookkeeping monthly prevents things from piling up and becoming overwhelming. Catching up on an entire year (like updating 2025 in early 2026) is stressful, time-consuming, and more prone to errors.

๐Ÿ‘‰ Donโ€™t guessโ€”ask or flag it.
If youโ€™re not sure how to categorize something, use an โ€œAsk My Accountantโ€ account or reach out during the year. Itโ€™s much easier to fix things in real time than during tax season.

๐Ÿ‘‰ Stay organized with loans and taxes.
Keep track of loan details (or at least save your year-end statements) so principal and interest can be properly recorded. Also, clearly track estimated tax payments and withholdings so nothing gets missed or double-counted.

๐Ÿ‘‰ Leave notes and communicate changes.
If you make estimates, unusual entries, or have big changes in income or purchases, document it and let your accountant know. A little communication upfront can prevent big surprises later.

None of these are complicatedโ€”but doing them consistently throughout the year makes tax season so much smoother for everyone involved.

Huge thank you to all the accountants, CPAs, and tax preparers who just wrapped up a very busy seasonโ€”and for sharing these helpful tips. Your hard work does not go unnoticed. Enjoy some well-deserved downtime! ๐Ÿ™ƒ

Do you absolutely hate messing with receipts?! ๐Ÿ˜

Want to know how to take care of them in less than 2 minutes? ๐Ÿคซ

No, I'm not talking about just throwing them all into the trash!!! ๐Ÿคฃ

I'm talking about using a receipt capture app. ๐Ÿคฏ

Last week, I timed exactly how long it takes to use the receipt capture feature on my QuickBooks Online app... less than 1 minute & 15 seconds!!! (And most of that was actually just waiting for the app to open and load!!! ๐Ÿ˜†)

I also wrote down the exact steps for using this amazing feature in the app:

1) Open the QuickBooks Online mobile app (if you don't already have it, you'll obviously have to download it first!).

2) Sign in to your account.

3) Under "Quick Actions" at the top of the screen, click on "Snap Receipt". (You may have to allow your camera access if you haven't already.)

4) Write the purpose and any other important info on the actual receipt. ***This is a HUGE step that will save you (or your bookkeeper! ๐Ÿ˜‰) SOOO much time!!! If you have multiple projects, properties, departments, etc., this is the easiest way to keep track of where this receipt goes-- before you forget!!! ๐Ÿ˜‚

5) Snap a picture of the receipt.

6) Click on the ->.

7) Click "Use this photo" if it's a clear image.

8) Hit "Done" (or "Got it!")

Bam! Your receipt is now in QuickBooks ready for your review!!! ๐Ÿฅณ

(Please remember to still file the receipt-- don't pitch it!!!-- in case of an audit. ๐Ÿ˜ฌ)

If you want to see what to do next with your receipt, I've included a video below. ๐Ÿ‘‡

Or, if you don't want to mess with the next step of categorizing the receipts in QuickBooks, schedule a free consultation with me! I'd love to chat with you about how I can take care of that annoying task for you! ๐Ÿฅฐ
