The right office printer is the one that matches how your team actually works.

Before your next equipment decision, consider these questions:
→ How many employees are sharing the device, and will that number grow?
→ Will your team need to scan, copy, or share physical documents?
→ Are you supporting hybrid or remote workers who need flexible print access?
→ Do you have document security or compliance requirements?
→ Are you managing maintenance on multiple standalone devices?

If the answer to most of those is yes, a multifunction printer likely serves your business better than a single-function device even if the upfront cost is higher.

The goal is to support the way your people work.

Standard printers look like the budget-friendly choice.

Often, they're not.

Here's what businesses frequently discover after the fact:

A printer that only prints leads to a separate scanner/copier. Extra devices means extra maintenance costs, larger supply budgets, and more things that can break on a Monday morning.

A multifunction printer consolidates all of that, and modern MFPs add cloud connectivity, mobile printing, and document workflow automation that standalone devices simply can't match.

So, instead of searching out the cheapest option, ask yourself "what will support our team most effectively over the next three to five years?"

That's a conversation worth having before you buy.

The printer decision is easy to overlook until it starts slowing your team down.

Most businesses treat printing like a utility… until something breaks.

That invisibility is exactly what makes it expensive.

Toner gets stockpiled "just in case." Aging equipment gets kept around too long. IT handles unnecessary “service” calls.

And costs quietly accumulate across vendors, departments, and invoices that nobody is reconciling.

Visibility is where control starts. And control is where costs go down.

A printer going down doesn't feel like a business risk…

Until your warehouse can't print shipping labels. Or your front desk can't process intake forms. Or your IT team spends a Friday afternoon on a paper jam instead of a security update.

Here's what most businesses don't know: downtime in your print environment is PREDICTABLE and PREVENTABLE.

If you can't answer these three questions, your print environment is probably costing you more than you think:

→ What did printing cost your organization last month?
→ Which department prints the most?
→ When did you last replace a device based on data, not because it died?

Managed print isn't only about printers.

POWER OF THE PURSE NEWS – We’re excited to share a new twist at this year’s event, the introduction of our first-ever Queens of Pursonality!

Reserve Your Spot: https://www.unitedwaymc.org/power-purse

For years, guests have enjoyed cheering on our Kings of Pursonality. This year, we are shining the spotlight on two women who are business owners and local leaders: JULIE RYBACKI from Bling Jewelers and MARY JO JOHNSON of EO Johnson Business Technologies.

Each Queen will be curating a one-of-a-kind live auction package that she will show off during the event, and which you will have a chance to bid on during the live auction.

This week we’re featuring Mary Jo.

A long-time supporter of the United Way of Marathon County, Mary Jo has been actively involved in Power of the Purse since its inception. A handful of dedicated ladies took the idea of raising funds specifically for the needs of women and families, originally named Women in Action.

Now, the re-named Women United’s POP has grown from the first event held at Back When Café, to the Chalet at Granite Peak, and now at the Central Wisconsin Convention & Expo Center! A great event which continues to grow and support women and children in Marathon County.

Mary Jo’s involvement with the United Way of Marathon County have also included Board President, committee work, and, with her husband Bruce Lamont, a Tocqueville award recipient in 2025. She remains committed to the work of our United Way.

She is currently owner and CEO of EO Johnson Company and Locknet Managed IT which serves customers in 4 Midwest states and beyond. Mary Jo is a proud mom of 4 adult kids and 1.9 grandkids (another grandson due early July!)

A dog lover, book reader, singer, dancer, Beatlemanic, and lover of travel and history, Mary Jo cherishes time with family, friends, volunteering, and work.

Your printer just went down. Again.

And somewhere in your building, an employee is standing at a broken machine, waiting.

Meanwhile, your IT person (who has actual strategic work to do) is being pulled into a toner situation.

The villain here is the assumption that unmanaged printing is "good enough."

Most mid-sized businesses have no idea what they actually spend on printing each month.

Costs are scattered across departments, vendors, and emergency service calls - invisible until they're not.

That gap between what you THINK printing costs and what it really costs? That's where managed print services live.

We broke it all down: what MPS is, what it does, and how to know if your business needs it. Link in comments.

Automation won't save a broken process. It'll just break it faster.

We see this constantly. Businesses investing in new tools before fixing the workflows underneath them. The result? More speed in the wrong direction. More chaos.

Our latest article dives into what operational improvement actually looks like in 2026:

✓ Scaling vs. growing and why the difference matters
✓ Finding the bottlenecks your team no longer questions
✓ Human-centric design as a retention strategy
✓ A 5-step lean framework for building efficient, scalable operations

We wrote the thing nobody tells you when you're shopping for a copier.

It's not about the machine. It's about how you manage your budget, your technology, and your team's time now and down the road.

Our latest blog post breaks down the buy vs. lease decision in plain language:
• cost considerations
• technology refresh
• real-world scenarios
..and a simple way to figure out which makes more sense for your organization.

No sales pitch. Just a clear look at both options so you can make the call that's right for you.
