We know September doesn't exactly scream “FUN DATABASE PROJECT!” 😆👇

But we actually think this is one of the best times of year to fix the little things that make fundraising harder than it needs to be...

Year-end is coming, but we're not in the thick of it yet. There's still time to fix the acknowledgment process that takes six steps, figure out why nobody trusts the mailing list, deal with the online form that creates extra work every time someone uses it, or finally ask why there are 47 different codes for essentially the same thing.

You don't need to launch a giant database cleanup!

There are a few things your donor database really shouldn't require: a secret decoder ring, three spreadsheets open at the same time, someone reminding you “DON'T use that field,” or Brenda, who left the organization in 2022 but is apparently still the only person who knows how that one report works.

And yet, here we are. 😅

We see versions of this all the time, and usually nobody did anything wrong. Someone needed to solve a problem, so they found a workaround. Then another person added something to the workaround. Five years later, everyone assumes there must be a reason it works this way. 😵‍💫

Your database doesn't need to be perfect. But it should make your team's work easier! You should be able to answer normal fundraising questions without launching a full investigation, and more than one person should know how things work.

If that's not where you are right now, you probably don't need to blow everything up and start over.

Usually, we can just start untangling. 🙌

Your database does not have to be perfect before it can become useful. 💡

In fact, waiting for the mythical day when every field is complete, every duplicate is resolved, and every process is perfectly documented can keep an organization stuck for years!

✔️ Start with the question that matters most.

✔️ Choose one process that creates recurring frustration.

✔️ Identify one report that leadership truly needs.

✔️ Document one task that currently lives only in someone’s head.

Progress in database management is usually built through small, intentional improvements, not one enormous cleanup project that fixes everything forever.

Fundraising benchmarks can be incredibly helpful, but they are not grades. 👇

They give you context!

They can help you notice that your donor retention is stronger than you realized. They may reveal an area that deserves more attention. They can prompt useful questions about your organization’s fundraising model, history, staffing, or audience.

But a benchmark should never erase the story of your organization.

Your mission, community, fundraising channels, team capacity, and stage of growth all matter. 📊

The best use of a benchmark is not to decide whether your organization is “good” or “bad.” It is to understand where you are, become curious about why, and make more informed decisions about where to focus next.

Many nonprofit professionals spend hours creating reports that almost no one reads. 📊

Or perhaps leadership reads the total at the bottom, but misses all the information that could help the organization make a better decision. 😅

A report is only useful when people understand:

• What they are looking at
• Why it matters
• What has changed
• What question the report answers
• What action they might take next

This is why reporting is not simply a technical skill. It is communication!

One of the reasons we're so excited to have Dr. Kimberly Terry at Giving Insight is that she understands the connection between processes and people. 🤝

When a process isn’t working, organizations sometimes assume that people simply need to try harder. But often, people are already trying incredibly hard.

The real problem may be:

• No one has clearly defined the process
• Different team members were taught different things
• The process no longer fits the organization
• Staff don’t have the time or tools to follow it
• A workaround has quietly become the permanent system

Kim’s experience in process improvement, organizational leadership, strategic planning, and workplace culture will help us support organizations at that intersection!

Better processes aren’t about controlling people. They are about making it easier for people to do good work. ✔️

There is no such thing as a “stupid” database question. ⬇️

We know people say that about many things, but we especially mean it here!

Nonprofit databases are complicated. They are often configured differently from one organization to another. Processes change, staff members leave, documentation becomes outdated, and sometimes no one knows why something was set up a particular way.

You should be able to ask:

🤔 “What does this field do?”
🤔 “Why are these numbers different?”
🤔 “Is there an easier way?”
🤔 “What happens if I change this?”
🤔 “Are we even using this correctly?”

Questions are not evidence that you aren’t capable. They are how better systems begin!

That is the kind of space we want our office hours, and all of our work, to provide.

Not every database question needs to become a consulting project. 👀 Sometimes you just need 20 minutes with someone who has seen the problem before!

👉 You might need help figuring out why two reports don’t match.

👉 You might want a second opinion before changing a code or process.

👉 You might know that something isn’t working, but not know enough about the problem to explain exactly what you need.

These are perfect office-hours questions!
