🚨 Forget about uFiling. It isn't working.

That sounds dramatic, but there is an important distinction:

❌ Forget about uFiling.

βœ… Don't forget about UIF.

Employers still have UIF obligations. Employees still need to be declared correctly.
Outstanding declarations don't disappear, incorrect information remains incorrect, and
a new system will not automatically fix bad data.

There is also a significant difference between what should be happening on uFiling
and what we are actually experiencing while working on employer profiles.

So perhaps it is time to stop asking:

❓ β€œWhen will uFiling work again?”

And start asking:

πŸ‘‰ β€œAre our UIF records ready for UIF Online?”

This week I look at:

πŸ“’ What the official information says

πŸ’» What we are actually experiencing

⚠️ The reality employers are facing

πŸ”„ Why repeatedly submitting declarations isn't the solution

πŸ“‹ What employers should be doing now

πŸš€ How to start preparing for UIF Online

UIF Online may be a new system, but it is not a magic eraser.

πŸ“Œ Get your records in order.

πŸ“Œ Fix what needs to be fixed.

πŸ“Œ Know your data.

πŸ“Œ Get ready for UIF Online.

☎️ What happens when an employee says their employer refuses to change their UI.19 termination code?
πŸŽ™οΈ In this episode of UIF Unfiltered, Julandie and Lady LDX unpack a question that comes up more often than you might think.
βš–οΈ Before deciding who is right or wrong, there is one important question that needs to be answered:
πŸ‘‰ How did the employer-employee relationship actually come to an end?
πŸ“Œ Not the merits.
πŸ“Œ Not the fairness.
πŸ“Œ The true reason for the termination.
🀨 And according to Lady LDX, sometimes we find ourselves in another episode of...

🚨 Your Payroll Says "Submitted"... But Did the Department Actually Receive It? πŸ€”

This is one of the biggest hidden UIF compliance problems affecting South African employers.

Everything looks perfect...

βœ… Payroll processed.
βœ… UIF deducted.
βœ… Declarations submitted.

Then years later an employee applies for UIF benefits...

πŸ’₯ "There are no declarations."

How is that possible?

The answer is something very few employers have ever heard of:

πŸ“‚ Historical Declaration Reconstruction

This is the process of investigating your historical UIF records to determine:

πŸ” What was actually declared.
πŸ” What the Department successfully received.
πŸ” Which declaration periods are missing.
πŸ” Which employees don't match.
πŸ” Why claims are being delayed.
πŸ” What needs to be corrected before it becomes a much bigger problem.

🚫 Don't make one of the biggest mistakes we see...

Trying to correct declarations before understanding what went wrong.

Our golden rule is simple:

⭐ Reconstruct first. Correct second.

We've published a comprehensive guide explaining:

βœ… What Historical Declaration Reconstruction is.
βœ… Why declarations disappear.
βœ… Why "Submitted" doesn't always mean "Received."
βœ… Warning signs your business may already have hidden compliance problems.
βœ… Why this matters before the UIF Online migration.

πŸ’¬ Has your business ever discovered missing UIF declarations years later?

Or has an employee been unable to claim benefits because the Department's records didn't match yours?

Share your experience belowβ€”we'd love to hear from you. πŸ‘‡

🚨 Did you submit your UIF claim on the old uFiling system before it closed? 😟

You're not alone...

Since the legacy uFiling Employee Claims Portal closed, we've seen hundreds of South Africans asking the same questions:

❓ Has my UIF claim been lost?
❓ Do I need to apply again?
❓ Will my claim automatically move to UIF Online?
❓ Why is my UIF claim still not being paid?

The good news is... the Department has confirmed that claims submitted before the portal closed have not been lost. βœ…

But here's what many people don't realise... πŸ‘‡

🚫 Migrating your claim to the new UIF Online platform does NOT automatically fix problems with your employer's records.

Many delayed claims are actually caused by:

πŸ”΄ Missing employer declarations
πŸ”΄ Incorrect termination dates
πŸ”΄ Salary declaration errors
πŸ”΄ Contribution gaps
πŸ”΄ Historical UIF data discrepancies
πŸ”΄ Employer compliance issues

Changing to a new platform doesn't automatically correct old data.
That's why some employees are still waiting.

πŸ“– We've written a comprehensive guide explaining:

βœ… What happened to claims submitted on the old uFiling system
βœ… What the Department's announcement really means
βœ… Why some claims remain delayed
βœ… What you should do next
βœ… The hidden employer problems that could be blocking your claim

πŸ’¬ Have you submitted your UIF claim and are still waiting?

Tell us:

πŸ“… When did you apply?
⏳ How long have you been waiting?

Let's help each other. πŸ‘‡

🚨 IS YOUR OLD UIF APPLICATION BLOCKING YOUR NEW CLAIM?

πŸ“© From the Labour Dynamix inbox: a real UIF problem and practical advice.

An applicant contacted us because she could not make a new UIF application. According to the applicant, officials did not know how to clear her old application.

She visited a Labour Centre on 29 May 2026. Her new application was still not captured, despite repeated follow-ups and numerous emails to Head Office. The frontline clerk assisting her reportedly said that she did not know how to help.

The applicant's name and personal information will remain confidential. We are sharing the situation as an anonymous, real-time case study because other applicants may be stuck in the same UIF no man's land.

⚠️ There are two possible scenarios:

1️⃣ A claim submitted on legacy uFiling is blocking a new application on UIF Online.

The previous claim may still be linked to the applicant's ID number and claim history. Registering another profile will not necessarily bypass it.

2️⃣ The claim was submitted on UIF Online but remains on Submitted without progressing.

Submitted does not mean that the claim can never move. We know that some claims do progress from this status. But where it remains unresolved or blocks another claim, the UIF must investigate it.

βœ… MY ADVICE IN THIS SITUATION

Do not rely on emails alone. An email creates proof of your follow-up, but it does not guarantee that the correct official will investigate the problem.

πŸ‘₯ A person-to-person discussion often produces a more constructive result. Take the time to explain the full history and show the official exactly what appears on UIF Online.

Please do not arrive demanding assistance, irritated or ready to take your frustration out on Department officials. They are there to assist you and are ultimately on your side. The attitude with which you approach them can influence whether you leave with another unanswered query or a practical way forward.

πŸ§‘β€πŸ’Ό WHAT IF THE FRONTLINE CLERK CANNOT HELP?

A frontline clerk may not have the knowledge, experience or system authority required to resolve a complicated application.

That does not mean the UIF cannot help you. Politely ask to speak to:

πŸ”Ή A supervisor
πŸ”Ή A senior UIF official
πŸ”Ή The Labour Centre Manager

If the matter remains unresolved, ask to lodge a formal written complaint.

Only the UIF or Department of Employment and Labour can progress, finalise or clear the application on its internal system.

Do not leave believing that β€œwe cannot help you” is the Department's final decision simply because the frontline clerk could not resolve it.

πŸ“‚ TAKE A COMPLETE DOCUMENT PACK:

βœ… ID
βœ… UI.19
βœ… Salary Schedule
βœ… Payslips
βœ… UI.2.8
βœ… Certificate of Service
βœ… Screenshots of the application status
βœ… Previous UIF reference numbers
βœ… Copies of emails and proof of previous visits

It is better to arrive prepared than to resolve the system problem and then be sent home because another document is missing.

πŸ“Œ The bottom line:

First establish whether a legacy uFiling claim is blocking your new application or whether a claim submitted on UIF Online is not progressing. Then go to the Labour Centre with all your supporting documents and request escalation if the frontline clerk cannot resolve it.

πŸ’Ό Labour Dynamix and the Dynamix UIF Specialists can review both UIF portals and your supporting documents, explain what is visible and advise you on the appropriate official channels to follow. Only the UIF or Department of Employment and Labour can change, progress, finalise or clear an application.

πŸ“’ IMPORTANT BREAKING NEWS: Legacy uFiling Employer Services Migration to UIF Online.

There has been a lot of confusion about the legacy uFiling system. Here are the verified facts and what they mean for employers.

βœ… Phase 1 – Employee Claims Migration (Completed)
The legacy uFiling Employee Claims Portal officially closed on 20 May 2026 according to Department of Labour media statement.

All new applications for:
β€’ Unemployment Benefits
β€’ Maternity Benefits
β€’ Illness Benefits
β€’ Adoption Benefits

must now be submitted through UIF Online.

πŸ’‘ What we're seeing in practice
The new UIF Online claims platform is performing remarkably well.
Claims are being approved, rejected and paid much faster than before. While historical claims are still being processed, the overall improvement has been significant

πŸ”„ Phase 2 – Employer Services Migration (August 2026)

Have you recently experienced:
⏳ "Calculate Declarations" timing out?
⏳ Slow declaration grids?
⏳ Connection errors?
⏳ Long loading times?

You're not alone.
The Department is currently migrating Employer Services from the legacy uFiling platform to UIF Online.

This includes:
β€’ Employer registrations
β€’ Monthly declarations
β€’ Contribution payments
β€’ Employer administration

πŸ“… The migration is expected to be completed by the end of August 2026.

πŸ› οΈ What Should Employers Do?

βœ”οΈ Allow additional time for declaration grids to load.
βœ”οΈ Avoid repeatedly refreshing your browser while information is loading.
βœ”οΈ If the system prevents you from validating an employee or submitting a declaration, complete a manual UI-19 and email it to:
πŸ“§ [email protected]

This will help keep your employee records up to date while the migration is underway.

The migration is a significant step forward and, from what we're seeing, UIF Online is proving to be a major improvement.

At Labour Dynamix, we solve UIF problems, and we'll continue sharing practical updates to help employers, navigate this transition with confidence.

πŸ’¬ Have you already experienced slower declaration grids or "Calculate Declarations" timeout errors? Share your experience in the comments.
