Four Common IT Mistakes small Businesses Make

1. Failing to Plan for Growth

Many small companies fail to properly account for IT within their growth strategy. Successful small companies tend to make ongoing investments in hardware, software and support. It’s recommended to invest in IT solutions that can expand alongside a company over at least a 1 year horizon. Doing so may seem more expensive at first, but it’s a must more cost-effective plan in the long term.

2. Buying the Wrong IT Software and Equipment

Money can be tight for a small business, but cutting corners on IT is generally a poor place to save.
Low-cost and consumer-grade products might seem attractive, but they’re rarely designed to handle the needs of a growing small business. For instance, business-grade software considers the unique interactions among employees, teams, customers and partners. Business-grade equipment also has special considerations, such as reduced downtime and higher performance.

3. Failure to Keep Up With Changing Technology

IT is the most rapidly changing and evolving industry in the world. Keeping up with the latest advances can be a full time job, but all employees should allocate some time in their schedules to do so.
Staff should receive continuing education to ensure they are efficiently using the resources provided to them by management. Not only will these skills boost their productivity and efficiency, but they will likely enhance their understanding of IT security as well.
However, staff aren’t the only ones who need to stay up-to-date on IT trends; management also needs to stay ahead of the curve. Management should familiarize themselves with the latest technology, along with the costs and benefits of each. Failure to do so can lead to missed opportunities to reduce costs and increase productivity.

4. Mismanaging Security

Until recently, small companies made for unlikely hacking targets. With limited resources and lax security, they were considered easy, yet unproductive targets. However, all of this changed in recent years. Symantec and others have reported a sharp rise in attacks on small companies.
To avoid disasters and save money, small companies should invest in security from the start. Password managers, firewalls, anti-malware programs and antivirus programs are just a few security measures that small businesses should consider when locking down assets.

6 Reasons Cloud Computing is The Future

1. Flexibility

Cloud-based services are ideal for businesses with growing or fluctuating bandwidth demands. If your needs increase it’s easy to scale up your cloud capacity, drawing on the service’s remote servers. Likewise, if you need to scale down again, the flexibility is baked into the service. This level of agility can give businesses using cloud computing a real advantage over competitors

2. Disaster recovery

Businesses of all sizes should be investing in robust disaster recovery, but for smaller businesses that lack the required cash and expertise, this is often more an ideal than the reality. Cloud is now helping more organisations buck that trend. According to Aberdeen Group, small businesses are twice as likely as larger companies to have implemented cloud-based backup and recovery solutions that save time, avoid large up-front investment and roll up third-party expertise as part of the deal.

3. Work from anywhere

With cloud computing, if you’ve got an internet connection you can be at work. And with most serious cloud services offering mobile apps, you’re not restricted by which device you’ve got to hand.
The result? Businesses can offer more flexible working perks to employees so they can enjoy the work-life balance that suits them – without productivity taking a hit. One study reported that 42% of workers would swap a portion of their pay for the ability to telecommute. On average they’d be willing to take a 6% pay cut.

4. Increased collaboration

When your teams can access, edit and share documents anytime, from anywhere, they’re able to do more together, and do it better. Cloud-based workflow and file sharing apps help them make updates in real time and gives them full visibility of their collaborations.

5. Security

Lost laptops are a billion dollar business problem. And potentially greater than the loss of an expensive piece of kit is the loss of the sensitive data inside it. Cloud computing gives you greater security when this happens. Because your data is stored in the cloud, you can access it no matter what happens to your machine. And you can even remotely wipe data from lost laptops so it doesn’t get into the wrong hands.

6. Document control

The more employees and partners collaborate on documents, the greater the need for watertight document control. Before the cloud, workers had to send files back and forth as email attachments to be worked on by one user at a time. Sooner or later – usually sooner – you end up with a mess of conflicting file content, formats and titles.
And as even the smallest companies become more global, the scope for complication rises. According to one study, "73% of knowledge workers collaborate with people in different time zones and regions at least monthly".
When you make the move to cloud computing, all files are stored centrally and everyone sees one version of the truth. Greater visibility means improved collaboration, which ultimately means better work and a healthier bottom line. If you’re still relying on the old way, it could be time to try something a little more streamlined.

What is Hosted PBX?

Hosted PBX is where the Hardware and PBX are setup and managed offsite. The VoIP Telephones are setup at the customer’s office or home connected to the VoIP system via the internet. This system relies on the VoIP service provider to make sure that the service is not interrupted or mismanaged. This option has the lowest cost initially but it’s reliant on a service provider to be online. Using an internet connection gives it international reach with only data charges and no hefty phone bill.

What is On Premise PBX?

On-premise PBX is also known as an IP-PBX phone system. The hardware used for the VoIP system is on-site and allow you to have complete control over that systems hardware. Downtime is reduced significantly because access and management is all done by your IT personal. The Hardware use’s routing methods called trunks to distribute sip numbers to connected VoIP devices. The switchboard is operated by a receptionist and can forward calls directly to any connected sip number over the internet. This options cost is based on your needs and can be higher than other options but the long term management and cost is much lower. The same as hosted PBX all that is needed is an internet connection allowing for just data charges and no large telephone bill.

Dear Client,

We were informed about the following virus that is currently on the lose – please be alert as Eset / Trend does not cover this virus, yet!

Please note that there is a new version of ransomware going around. It is called "Locky".
There is no way to detect and prevent it through technology at this stage. Please ask all staff to be super vigilant about emails they open. At this stage we know a user will get infected through an email that they receive. The email will have a attachment like "proof of payment" or "invoice". Once opened looks like gobbledegook, and activates the Virus.
This version encrypts everything it can connect to. That includes network folders, Sql databases (Pastel), Google Drive etc
If a member of your stuff feels that they may have opened one of these emails in the last few days. Please disconnect their device from your network and contact us so we can investigate if the device is infected or not. The longer a device is left infected the more files it will effect.
Google Apps Users - Please note that a lot of these emails are being filtered out of your email by Google however that is not a fool proof safety net.
Please pass on to all staff. There is no way for us to recover an encrypted device at this point apart from a restore from a backup. However backups are vulnerable to this attack as well.
Be safe and if it looks suspicious, rather call us to assist
