Position: Procurement & Stores Controller
Location: Swan Plastics (Pty) Ltd
Hours: Monday to Friday, 07:30 – 16:30
Start Date: 01 October 2026
Position Summary
Swan Plastics is seeking a highly organised, computer-literate Procurement & Stores Administrator to implement the company's purchasing process and stores administration. This role is responsible for ensuring that raw materials, packaging, consumables, maintenance items and other purchased products are ordered on time, accurately received into stock, and issued to employees in a controlled and fully traceable manner.
The successful candidate must be confident working with Microsoft Excel, have excellent administrative skills, and be comfortable communicating professionally with suppliers by email and telephone in English.
Key Responsibilities
Procurement
• Plan and place buy-out orders in accordance with company requirements.
• Monitor stock levels and identify replenishment requirements.
• Obtain quotations from multiple suppliers.
• Compare pricing, lead times and product availability.
• Issue purchase orders in accordance with company procedures.
• Follow up outstanding orders and ensure on-time delivery.
• Build and maintain good working relationships with suppliers.
• Resolve supplier delivery and pricing discrepancies.
Inventory & Stores
• Receive purchased stock accurately into the inventory system.
• Verify deliveries against purchase orders and delivery notes.
• Report shortages, damages and incorrect deliveries.
• Issue stock to employees against authorised requests.
• Maintain accurate records of all stock issues and receipts.
• Assist with regular stock counts and stock reconciliations.
• Ensure stores remain organised, neat and well controlled.
Administration
• Maintain accurate purchasing and stock records.
• Update Excel planning spreadsheets and procurement trackers.
• Use Excel formulas to monitor stock requirements and ordering.
• File supplier quotations, purchase orders and supporting documentation.
• Assist with reporting on purchasing activity and stock levels.
Minimum Requirements
• Matric (Grade 12).
• Minimum 2–3 years' experience in purchasing, procurement, stores or inventory administration.
• Advanced computer literacy.
• Strong Microsoft Excel skills, including formulas and spreadsheets.
• Excellent English written and verbal communication.
• Professional telephone etiquette.
• High level of accuracy and attention to detail.
• Good organisational and time management skills.
• Ability to prioritise multiple tasks and meet deadlines.
Advantageous
• Experience in a manufacturing environment.
• Experience with ERP or inventory management systems.
• Knowledge of procurement procedures and stock control.
• Understanding of inventory management principles.
